What are best practices or steps recommended when shutting down a TeamRaiser event?

Options

We are looking to close our TeamRaiser event for the year and I was wondering if anyone had a list of the best practices or steps recommended when shutting down a TeamRaiser event?

Thanks,

Meghan

    Hi Meghan,

Can you clarify? Do you mean, ending an event and publishing event summary info?

    Hi Kent,

Yes we are looking to end our TeamRaiser event.  I know we go into each TeamRaiser and set it as closed, but I didn't know if there were any other tips/items that we should do.  I should also mention that our event is setup with a blueprint.

Also, I know you can return personal URLs participants create in their Participant Centre, how do I do that?

What do you mean by publishing event summary information?

    Thanks,

    Meghan

So most organization have a "Thank you" page that is presented as the event homepage. No reg links or anything but donation links can still be up. It's great to use this page in your follow-up emails to promote the success of your event and thank sponsors, participants and donors. Plus, you can set your event to not take registrations but still take donations so people can donate after your event.

And if you simply want to have another page and not a TR page, you can go to the "custom event URL" settings and enter a URL for people to go to after the event is closed.

As for releasing URLs, you can do that with this info:

To release shortcut URLs from an archived TeamRaiser event

    1. From the top of any Administrator page, click Fundraising > TeamRaiser.

    2. On the TeamRaiser List page, scroll to the bottom of the list and click the Show Archived TeamRaiser in List checkbox to add the checkmark.

    3. Locate the appropriate event and click Release Shortcut URLs from its Actions column.

    4. On the Shortcut URLs page, click Release.

    A few questions for you:

When I close a TeamRaiser, I should archive it?

Do I archive my blueprint event as well?

Does archiving the TeamRaisers affect reporting at all?

I'd just close it. You want to keep your blueprint so you can use it for your next event. Just update your blueprint and then reuse it.

  • We never archive ours as we constantly use them as a reference. Just close them and put up a generic thank you. Images work very well for that visual.
