Part-time Development & Database Coordinator in NYC for the Ackerman Institute

The Ackerman Institute for the Family is seeking a part-time Development & Database Coordinator, who will accurately maintain records and information in the fundraising database (Raisers Edge / RE NXT) and provide support for information management and gift processing. Primary responsibilities include ensuring overall data integrity and best practices within the database; accurately and efficiently entering and maintaining donor and gift records in the database; generating queries and reports as needed; ensuring the timely production of acknowledgement letters, receipts, and pledge reminders; and maintaining donor records and files (digital and hard copy). The Development & Database Coordinator responds to requests for information, including but not limited to queries, mailing lists, financial and fundraising reports, research and prospecting reports, and revenue and constituent giving summaries. Additional responsibilities include supporting events and mailings as needed.

Primary responsibilities include:

• Ensure data integrity within the fundraising database (Raisers Edge) by coordinating the creation and execution of best practices for database management, including but not limited to: database upgrades and maintenance; training procedures; gift, solicitation, and constituent codes; gift entry procedures; moves management and prospecting pipeline procedures; queries and reports procedures; donor recognition; research and donor profile updates; etc.
• Oversee and conduct data entry and gift processing; ensure accuracy, data integrity, and maintain confidentiality.
• Produce and ensure timely acknowledgement letters, receipts, and pledge reminders.
• Maintain data hygiene, oversee and systematize data coding, and coordinate system updates.
• Coordinate and help maintain biographical information in the database from a variety of sources including forms, mailings, emails, staff, etc.
• Produce tailored mailing lists for targeted solicitation and stewardship outreach purposes.
• Manage hard copy and digital files for Development and donor records.
• Maintain and keep relevant database procedures documents and manuals.
• Oversee and support regular communication with Finance department to complete accurate quarterly reconciliations between Development and Finance’s income reports.
• Research and respond to staff and donor inquiries on records and gifts.
• Coordinate and produce annual and project donor recognition reports for the annual report, website, special events, and projects.
• Produce reports as needed, including but not limited to, financial and fundraising reports, research and prospecting reports, and revenue and constituent giving summaries.
• Assist and advise non-Development staff in database use and best practices.
• Compose general correspondence and provide clerical support, as needed.
• Perform other duties as assigned.

Qualifications include:

• High School Diploma or equivalent required; Bachelor’s Degree preferred.
• 2-3 years of demonstrated experience in development database systems and operations, or similar capacity, is required.
• Experience with SQL or CRM databases is required. Raisers Edge or other Blackbaud database experience preferred.
• Excellent organizational skills and attention to detail.
• Excellent verbal and written communication skills.
• Highly organized with strong attention to details.
• Strong analytical, problem-solving, and research skills.
• Excellent time management skills with a proven ability to meet deadlines.
• Ability to work on multiple projects simultaneously.

Work Environment:

• This position will be Hybrid, based out of The Ackerman Institute’s New York, NY location.
• This position will require a dedication of 20-25 hours per week.

Compensation:

$27,000 - $35,000/year.

COVID Requirements
