Oak Hill is looking for a Grants Administrator to join our dynamic development team and support the exciting expansion of our Grants Department. The Grants Administrator will coordinate people and processes to help ensure the successful implementation of grant funded projects and programs that support thousands of people with disabilities across the state of Connecticut each year. Serving as a key bridge-builder across the organization, the Grants Administrator will manage the administrative functions of the Grants Department, work in partnership with cross-functional project teams and ensure compliance of grant funded initiatives.

CRITICAL WORK RELATIONSHIPS AND WORKFLOW INTERDEPENDENCIES

The Grants Administrator works under the general direction of the Director of Innovation and Grants. This individual has contact with administration, leadership, employees, donors, funders and the public.

TARGET OUTCOMES/MEASURES OF SUCCESS

  • Executes the Grants Department’s administrative tasks, including managing the grants calendar and expense tracking.
  • Works with Director of Innovation and Grants to develop and manage detailed project plans and schedules.
  • Works with interdepartmental teams to ensure grant projects are carried out in accordance with grant agreement.
  • Stays current on best practices in the field through professional development.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Responsibilities include, but are not limited to:

  1. Grants Department Administration
  • Maintain the Grants Department calendar for grant submission and reporting deadlines.
  • Manage grant activities timelines and deliverables
  • Manage the administration of grants portals.
  • Coordinate and attend grant-related meetings (e.g., planning and implementation, technical assistance opportunity participation, etc.).
  • Coordinate grantor relations and requests for site visits and other activities and project manage preparation for audits/site visits.
  1. Project Management
  • Works with Director to develop and manage a project plan for managing staff resources and availability, ensuring alignment across the team on the department's highest priorities.
  • Develops and manages a detailed project schedule supported by work plans.
  • Manages cross-functional project teams including running project milestone meetings, regular budget review meetings and check ins.
  • Provides project updates consistently to various stakeholders to elevate potential risks when needed.
  1. Financial and Accounting Management
  • Manage the Grants Department purchasing card and coordinate with departments to track expenditures
  • Monitor all grant-related expenditures and draw downs in collaboration with the finance department.
  • Collaborate with finance team to track and analyze financial data to ensure expenditures align with budgets, monthly.
  • With direction and approval, reconcile actual and grant budgets and create grant reports for funders.

This is a full-time non-union position with the option to work a hybrid remote schedule. The annual salary starts at $50,000.

QUALIFICATION REQUIREMENTS

  • Four-year degree preferred but can be substituted for relevant work experience.
  • Prior grant administration or project management experience required.
  • Ability to read, analyze, and interpret complex documents and possess strong analytical and critical thinking skills.
  • Ability to express ideas clearly, effectively, and persuasively, both orally and in writing.
  • Strong project management skills; highly organized, excellent attention to detail and time management skills.
  • Self-motivated and task-oriented, with the ability to work independently and effectively maneuver between multiple tasks and responsibilities.
  • Ability to work efficiently and effectively in a fast-paced, dynamic and team-based environment.
  • Ability to use good judgment when carrying out responsibilities.
  • Ability to establish and maintain positive, effective, professional relationships with all internal and external contacts.
