Job Summary

The Advancement Services Associate prepares mailing lists, reviews gift postings and acknowledgements, updates and maintains the donor database, and prepares various financial and analytical reports.

Job Description

Typical duties may include but are not limited to:

  • Assists in the preparation of donor appeals.
  • Prepares reports, proposals, and general correspondence.
  • Work with accounting department to manage and reconcile development and business income records including but not limited to monthly development revenue reports, pledge status reports and annual audit preparations.
  • Executes and maintains data hygiene strategies that will increase the reliability of fundraising data.
  • Ensures integrity of data and records by supporting the implementation of Raisers Edge policies and procedures, and by auditing data entry for errors and incorrect codes. Perform Raisers Edge data entry as needed.
  • Supports the production of fiscal reports and systems documentation as well as revenue reconciliation processes, Raisers Edge maintenance.
  • Generates data and responds to annual Volunteer Survey of Education (VSE) national study.
  • Coordinates with finance function to mirror chart-of -accounts and collaboration on new fund set up between Raisers Edge and Financial Edge.

Other Duties:

  • Other job-related duties as assigned.
  • Create custom queries and reports as needed
  • Assists with database functions to support development activities such as creating online donation forms, event forms, etc.
  • Assists in implementing necessary global changes and imports to the database
  • Provide event support, including timely and correct recording of attendees and donations in the database.

Additional Job Description

Required Qualifications:

  • High school diploma or equivalent.
  • Six years of full-time experience with data entry, records management, or other relevant high level administrative support experience.
  • Any appropriate combination of relevant education, experience, and/or certifications may be considered.
  • Experience operating a personal computer and proficient with Microsoft Office (Word, Excel, Access, PowerPoint, Publisher and Outlook).

Preferred Qualifications:

  • Bachelor’s degree from an accredited institution in a closely related field.

Knowledge, Skills & Abilities:

  • Knowledge of and proficiency with database management applications such as Raiser's Edge.
  • Excellent interpersonal, verbal, and written communication skills.
  • Strong organizational skills and the ability to prioritize and complete simultaneous projects.
  • Ability to create, compose, and edit written materials.
  • Ability to work collaboratively and build strategic relations with a diverse group of colleagues, students, alumni, donors, and volunteers.
  • Ability to work successfully as both a member of a team and independently with minimal supervision.
  • Ability to take initiative to plan, organize, coordinate, and perform work in various situations when numerous and diverse demands are involved.
  • Ability to always maintain confidentiality and discretion.
  • Ability to work evenings, nights and weekends as necessary.
