San Diego Jewish Academy (SDJA), a PK-12 school in the Carmel Valley community of San Diego, is looking for a highly engaged, talented, and community-oriented Admissions & Advancement Coordinator.

The ideal candidate is self-motivated and passionate about the power of education. Because you'll wear multiple hats in this role, you have honed not only your time management skills, but you are an expert at prioritizing completing responsibilities that may shift based on certain deadlines within a fast-paced environment. You can comfortably, and confidently, explain just about anything to anyone; your communication skills, both written and verbal, are top notch. Despite the situation, you always remain professional and enjoy developing and nurturing relationships with a variety of constituents. You embrace technology and are eager to find ways to leverage it to improve procedures and processes.

You will be kept busy with:

Admissions -

  • Actively supporting and managing the process of responding to all inquiries, as well as scheduling and conducting school tours for prospective families along with a personal follow-up.
  • Managing the application process for prospective students and serving as the point person for any required communications.
  • Maintaining both the Admissions Database (APP) and updates for Admin Plus and performing all data entry into the admissions database as directed and in partnership with the Registrar/Business Office.
  • Tracking re-enrollment and managing the process, which includes communications with families, sending reminders, and tracking students that do not re-enroll.

Advancement -

  • Managing the School’s Blackbaud Raiser’s Edge (RE) NXT database as directed; and serving as the Advancement team leader on the School's data internal processes, procedures, and best practices.
  • Managing gift processing as directed and collaborating on donor relations, engagement and stewardship.


Additional responsibilities -

  • Providing budget support, processing monthly department credit card invoices, and overseeing all check requests/payments.
  • Overseeing the office—answering the Advancement & Admission mainline, as well as direct email and calls to the appropriate people; processing and distributing mail; and scheduling team and committee meetings as needed.
  • Being the designated point-person to support all Admissions & Advancement events from planning through execution.
  • Supporting a variety of communications as directed and providing direct support to the Advancement & Admissions Team as directed.
  • Managing numerous reports as directed and as scheduled for Admissions, Advancement, and other key SDJA personnel as requested/needed.

Performing other duties and projects as assigned.

Note: Occasional evenings/weekends may be required.

You bring to the table:

  • An Associate's and/or Bachelor's degree.
  • Minimum 3-5 years of experience in a professional setting, preferably non-profit.
  • Strong Raiser's Edge/Raiser's Edge NXT database experience or other donor software knowledge.
  • Exceptional knowledge of Microsoft Word and Excel.
  • Providing the highest data integrity
  • Demonstrating the highest level of confidentiality for donor/parent information with appropriate discretion and privacy.
  • Demonstrating strong project management skills.
  • Being flexible and remaining positive while focusing on solutions to problems that might occur
