Organization Contacts Email Addresses

Options

When an organization has a ‘Primary Contact’ that is a full constituent record we link these records together. In doing so all of the gift receipts for the gifts made by either the org or the individual are sent to the individual's primary email'. Does anyone know a good way to send Org Gifts to the Individual's Business email and individual gifts to the individual's personal email?

I thought about creating partial records on the org with a different email address but this looks like a duplicate record. We could also use the email field on the org if we only had one contact per org, we have multiple contacts on some org's so this wouldn't work either.

How is everyone else handling this? My current thoughts are to have the individual record choose one email address to which both their individual receipts and org receipts are sent.

    Option #1: you could use the email on the Organization record, as you had contemplated. Depending on what email provider you use, you should be able to add multiple emails all with the same email type (for each of your contacts who should receive an acknowledgement). In RE/OLX, for example, I can enter 3 “Email-1” emails and it will send to all 3 of them. You can label whose email belongs to whom under the Phone "Comments" to make updates easier. Just be careful with Unsubscribes.

    Option #2: While you could ask your Contacts to all choose an email to receive both work and personal emails, this gets messy on a number of levels. Some Contacts may not want to receive both types at one email, because of work/personal boundaries. You can also have Salutation issues with “Mr. & Mrs.” pulling from your Contact record and appearing on business receipts when “Mrs.” doesn't even work there.

    Option #3: What we often do when a Contact is messy is to enter 2 Relationship records on our Orgs.

    • One is Jane Smith's individual record, marked as a Contact relationship type, but NOT with the Contact button checkmarked. This serves only to track the relational connection.
    • Then we enter a second Contact record for Jane Smith that is NOT linked to her constituent record, and on this one we check the “Contact” button. This one contains her business Salutation and her business email address, etc. In this way, her non-employee spouse does not get pulled in the Salutation, and she can receive receipts to a work email address.

    Option 1 would work if I were only talking about receipts, I didn't mention that we have a different contact for events.

    Option 3 is one that I'm hoping to avoid because that would be introducing duplicate data into the database. It would be hard to tell if someone didn't properly update a record or which one is correct. This option would work but the maintenance of it could be a lot.
