The Advancement Services Coordinator will be responsible for ensuring the accuracy and timeliness of all gift data into Raiser’s Edge. This includes but is not limited to: maintaining accurate records in Raiser’s Edge; creating and distributing acknowledgements of gifts; and building and maintaining a system for improved quality control for data management and gift acknowledgement processes.

Reporting to the Advancement Services Manager, the Advancement Services Coordinator will also work closely with the finance team. The duties of this role will also include regular communication with donors via mail, email, and phone to clarify donor information, pledge details, etc.

The ideal candidate will demonstrate an ambitious professional interest in the systems associated with running an expanding fundraising program as Kanuga prepares for a comprehensive campaign ahead of its centennial celebration in 2028. The successful candidate will be a detail-oriented, proactive problem solver with experience working on a fast-paced and dynamic fundraising team. Meticulous attention to detail, as well as strong organizational, time management, and communication skills are a must.

Essential Responsibilities: (performs other duties as assigned)

Gift Processing

Perform gift entry for all gifts, including coding checks, batching donations, and processing acknowledgments within established timeframes

Maintain compliance with defined procedures to ensure security of check and credit card information

Work collaboratively with the finance team to support the production of monthly financial statements and manage the monthly revenue reconciliation process and troubleshoot any revenue reconciliation issues that may arise

Promptly notify Advancement team members of major and/or important gifts

Ensure long-term data integrity by regularly reviewing gift entry reports for accuracy

Ensure accurate record keeping for special gift types, including in-kind and tribute gifts

Create systems for quality control check for acknowledgement letters in partnership with the Advancement Services Manager

Upload check batches, credit card transactions, and gift transfers to Raiser’s Edge with extreme attention to detail and improvement in quality control processes

Manage the matching gifts process

Prepare tax receipts, both manually and system generated, for all gifts and payments

Donor Relations

Respond to donor inquiries

Ensure that donors receive timely, accurate, and personalized acknowledgements

Communicate with donors as needed to clarify gift details, donor information, etc;

Direct donor requests to additional advancement or leadership staff when necessary

Support advancement and leadership teammates with occasional additional mailings

Monitor returned mail and donor requests regarding contact information changes, updating Raiser’s Edge accordingly

Data Management and Hygiene (Raiser’s Edge/ Raiser’s Edge NXT)

Ensure data integrity within Raiser’s Edge by reviewing data, creating campaigns, deduping records, and generating reports

Assist with data tracking and maintenance, including data imports, contact lists, codes, and tables, constituent management including updating records for address changes, relationship updates, etc.

Enter, verify, and edit donor data to ensure accuracy by comparing source documents with donor database (Raiser’s Edge), performing basic research and data lookup

Conduct donor/prospect research, prepare briefings, and assist with drafting letters and proposals

Qualifications

Degree from an accredited college or university or equivalent experience.

At least 2 years of relevant experience. We welcome a range of skills and backgrounds, but ideally will include recent experience working with CRM platforms in a nonprofit environment.

Essential Knowledge, Skills, and Abilities

Familiarity with CRM platforms (ideally, Raiser’s Edge)

Strong Microsoft Office Suite skills, particularly Excel

Ability to think critically, assess situations, and synthesize information

Superior attention to detail and organizational skills

Strong analytical and problem-solving skills

Proven ability to responsibly handle confidential and sensitive information and abide by ethics standards and privacy policies

Familiarity with general principles of fundraising

Ability to work well with other people and as a part of a team including volunteers, donors, potential donors, and other staff

A strong track record demonstrating initiatives and results

Strong organizational and time management skills; close attention to deadlines and the capacity to work on several projects simultaneously
