OBJECTIVE

Global Down Syndrome Foundation (GLOBAL) is looking for smart, collaborative, hard-working, and highly-organized professional who enjoys working with data and numbers every day, thrives on supporting a team, and who enjoys learning new skills in a fast-paced environment focused on improving the lives of people with Down syndrome.

The Database Coordinator will support daily and weekly donor receipt letters and major data input and clean-up projects. This position will help empower GLOBAL’s various departments by providing accurate, timely data, reports and analysis required to meet and exceed goals. This position will be or become proficient in Raiser’s Edge and fundraising and donor management software in helping to support GLOBAL’s growing national and international database.

Because this position communicates daily with GOBAL’s constituents, and has access to sensitive, confidential strategic information, there is a high level of responsibility, integrity, confidentiality and professionalism required. This should be willing to work in-person at the Denver offices Monday through Thursday with a remote workday option on Fridays per organization policy.

BACKGROUND

Global Down Syndrome Foundation (GLOBAL) is a fast-growing, strategic, innovative and ambitious public not for profit 501(c)3 with the mission of significantly improving the lives of people with Down syndrome through Research, Medical Care, Education & Advocacy. GLOBAL provides critical funding, outreach and lobbying in support of our four “Affiliates”:

  • Linda Crnic Institute for Down Syndrome (Crnic Institute)
  • Rocky Mountain Alzheimer’s Disease Center (RMADC)
  • Anna and John J. Sie Center for Down Syndrome (Sie Center)
  • the adult Down syndrome clinic collaborative

GLOBAL’s key areas of work are:

  • Campaign and Major Gifts Fundraising
  • Events Management and Annual Fundraising
  • Government Advocacy
  • Public Relations, Marketing & Communications
  • Community Outreach including GLOBAL’s membership program, health and wellness programs and special projects.

GLOBAL’s primary activity is in Colorado and the DC-area, although GLOBAL has members from nearly every state and several countries, and supporters around the world.

JOB DESCRIPTION

The Database Coordinator is a full-time, non-exempt position and reports to the Community Development Senior Manager in conjunction with the Database Consultant and is part of the Development Department.

The Database Coordinator is responsible for the following key areas: (1) Data Input and Financial Reconciliation, (2) Data Organization and Projects, and (3) Report & Analysis Support. The duties of this position include, but are not limited to, the work listed below.

Data Input and Financial Reconciliation

Gift Entry & Acquisition Reporting. Assist to input constituent and gift data in a complete, consistent, logical and structured fashion. With supervision from the Database Services Senior Manager, provide monthly, quarterly, and annual gift reporting.

Coding & Reconciliation. Work closely with development staff and accounting on a daily and weekly basis to ensure gift data is coded properly and reconciled accurately and timely each month and at year-end.

Invoicing & Receipt Letters. During high volume periods, assist with all tasks related to gift acknowledgment, including generating, editing, and mailing gift acknowledgments. Track the timing and completion of automated digital receipts and letter receipts sent. With supervision from the Database Services Senior Manager, provide monthly, quarterly and annual receipt letter reports to key executives.

Data Updates. Ensure that agreed upon data updates are implemented regularly and reported on quarterly (e.g. Solicitor, Gender, Notes Updates).

Data Organization and Projects

Organization. Manage Database@ updates and reports, daily filing, donor financial information, deposit reports, and other relevant donor communications in accordance with established department filing system.

Clean Up. Participate fully in ongoing cleanup of existing data in the database, including correcting duplicates and routine maintenance of records.

Report & Analysis Support

Assist with Event Solicitation & Revenue Reports.

Assist with Dashboards & Pre-Built Reports.

General Reporting Support.

Other Work

Training. Complete Raiser’s Edge, NXT registration creation, Dashboards, Peer-to-Peer, and Phone2Action trainings.

Be Beautiful Be Yourself Fashion Show. Work alongside the entire GLOBAL staff in coordinating GLOBAL’s signature annual fundraising event.

Other work as required.

REQUIREMENTS

  • Bachelor’s degree.
  • Two years’ experience in data coordination in a general office environment involving considerable computer work.
  • Proficient in Microsoft Office Suite and strong competency in Microsoft Excel and a Customer Relationship Management system.
  • Excellent work ethic.
  • Highly motivated, curious and able to accept multiple tasks with direction.
  • Strong analytic, problem-solving and time management skills.
  • Excellent verbal, written and interpersonal communication.
  • Ability to use good judgment and ethical behavior in handling confidential material with sensitivity and discretion.
  • Self-motivated, strong learner with ability to work independently with minimal supervision, and as a team on projects.
  • Donor oriented with high-touch service to internal and external constituency.
  • Strong interpersonal skills, particularly as it relates discretion, proprietary information, listening to others, patience and understanding for dealing with a diverse group of co-workers, donors, volunteers and families.
  • Flexibility and the ability to prioritize assignments and meet deadlines as a team player in high-pressure, fast-paced environment. Ability to work calmly under pressure while delivering work on time and with accuracy.
  • Comfortable with the natural fluctuations of work in a database, including repetitive daily tasks and urgent projects, detail oriented, able to focus for extended periods of time
  • Displays sound judgment, relates well to the public and staff, has a professional demeanor and is well organized.
  • Ability to occasionally work pre-approved, extended hours to meet deadlines and to attend GLOBAL-related events which may occur on evenings and weekends.
  • Passion for working with and serving the differently-abled. Strong interest in non-profit development and social-justice work.

PREFERRED REQUIREMENTS
Bachelor’s degree or equivalent work experience. Raiser’s Edge experience. One year experience in heavy database utilization, especially data entry tasks.

REPORTING STRUCTURE

Reports to the Community Development Senior Manager in conjunction with the Database Consultant under the Development Department.

COMPENSATION

This is a non-exempt position, requiring flexibility in order to meet deadlines and attend GLOBAL events.

HOURS

Must work the hours necessary to satisfactorily perform the duties of the position, generally Mondays through Fridays from 9-6. Per organization policy, in-office work is required Monday through Thursday, with a remote option on Fridays.
