Development Coordinator of Major Gifts & Events - Spaulding Rehabilitation Network, Charlestown, MA
*This position has a hybrid work schedule with 2 days per week in the office at Spaulding Rehabilitation Hospital in Charlestown, MA.*
Summary
The Development Coordinator of Major Gifts and Events will support both the Major Gifts and Events Teams as they carry out their fundraising responsibilities. For the Major Gifts Team, the Coordinator will provide general administrative support, run donor/fundraising progress reports, and help coordinate individual major and planned giving cultivation and stewardship meetings and outreach. For the Events Team, the Coordinator will provide administrative support for all fundraising and stewardship events and donor engagement initiatives, which include, but are not limited to, the Race for Rehab program, two annual golf tournaments, 3rd party events, The President’s Council, and the Francis “Hooks” Burr Society. Key Responsibilities:
Major Gifts Team Support
- Provide general administrative coordination and support to the Major Gifts Team, with tasks including, but not limited to, managing logistics for cultivation and stewardship meetings, managing scheduling, and producing meeting materials, and coordinating other internal and external correspondence.
- Coordinate the recording, gathering, and tracking of donor/prospect work in Atlas (Blackbaud CRM); donor acknowledgement and report generation; expense report preparation; and other database-related duties as requested.
- Make travel and meeting arrangements, prepare accurate and thorough travel itineraries, and prepare and process employee expenses.
- Assist with booking and tracking of major/principal/planned gift commitments made by prospects that are in the Team’s portfolio. Review daily gift reports to ensure proper and accurate coding of all major gifts. Work with Assistant Director of Donor Systems and Information Management on any required gift edits, including the submission of new fund creation form as needed.
- In collaboration with Director of Prospect Development and Systems, initiate basic donor/prospect research (i.e., using Google and Atlas) upon request.
- Assist with the management and tracking of all activities related to Spaulding’s two key donor recognition groups: The President’s Council ($20K+ annual donors) and the Francis “Hooks” Burr Society (planned gift and bequest donors).
- Actively participate in team meetings and offer input on prospect strategies.
- Assist in other major gift activities as needed and assigned.
Events Team Support
- Provide administrative and logistical support for all fundraising events and donor engagement initiatives, including, but not limited to, the Race for Rehab program, two annual golf tournaments, community events, The President’s Council, and the Francis “Hooks” Burr Society.
- Coordinate the scheduling of event donor committee, and internal team meetings. Attend meetings and record minutes, as needed.
- In collaboration with the Manager of Fundraising Events, assist with auction, raffle, and in-kind gift solicitations, documentation, and tracking.
- In collaboration with the Manager of Donor Programs, help track applications for the Race for Rehab program, manage the team registration process through the B.A.A. portal, and provide support to the overall success of the program through accurate recording of data.
- Manage all event data in Atlas (CRM) donor database, updating and maintaining event records, adding invitees, ensuring event RSVPs and expenses are recorded in the Event Module, donors are acknowledged in a timely manner.
- Prepare files containing event fundraising plans that will need to be uploaded by the Donor Systems Team, including sponsorship invoices generated by the Development Operations Coordinator.
- Track events inventory and maintain an organized storage closet.
- Availability outside of regular business hours (including some weekends) is required.
Other Duties
- Work collaboratively with the Development Coordinators and Executive Assistant to provide office and administrative support back-up as needed.
Education/Degree
Required: Bachelor’s Degree
Experience
Required:
- 2+ years of experience in a Development office setting, preferably in healthcare, and proven professionalism and efficiency.
- Experience with donor database, as well as Microsoft Office and related software.
Preferred:
- Knowledge of HIPAA privacy rules a plus.

- Excellent organizational skills, strong attention to detail and an ability to prioritize.
- Cheerful, engaging, and professional interpersonal skills, with both internal and external constituencies.
- Must have excellent customer service skills, solid written and verbal communication skills, and maintain a high degree of professionalism.

- Ability to balance multiple responsibilities at once, while remaining focused on fundraising priorities.
- Strong adherence to patient/donor privacy, confidentiality, and other hospital protocols.
- Strong proficiency in Microsoft Suite products (i.e., Word, Excel, PowerPoint, etc.).
