JOB SUMMARY

The Gift Processing and Donor Data Specialist works alongside the Director of Donor Services to oversee and manage the necessary processes behind all donations received by Boys & Girls Clubs of the Valley (BGCAZ) in Phoenix, AZ. Will be responsible for using a variety of systems and tools to proactively produce and keep current all Resource Development data-related reports that impact BGCAZ. Will be responsible for ensuring that donors are acknowledged in a timely, effective, appropriate and consistent method through donor stewardship best practices.

JOB RESPONSIBILITIES

  • Produces data-related reports as requested including budget reports, KPIs, mailing and email lists, constituent & transaction files, etc.
  • Encourages BGCAZ “Rules of Engagement” and incorporates into day to day interactions with staff
  • Runs data sync with VolunteerHub ensuring that constituent records are created appropriately, coded correctly and that any duplicates are merged
  • Updates donor information as needed including contact information, relationships and other information
  • Assists with event data entry such as registrations, registration fees/sponsorships and donations as needed
  • Maintains and improves the integrity of BGCAZ’s donor data through clean-up projects and by performing periodic maintenance to ensure that data is up-to-date and lacking duplicate records
  • Interfaces with finance department, post RE information to the GL and reconcile gift information as needed
  • Assists with annual audits
  • Assists with database functions to support all development activities such as creating online donation forms, donor/event/volunteer emails, etc
  • Assists in implementing necessary global changes and imports to the database
  • Assists in writing all database protocols through continual revisions to database manuals and written documents
  • Oversees donor cultivation and stewardship by responding to inquiries and assisting with strategies to prospect and cultivate new, current and prospective donors

  • Demonstrated critical thinking skills with the ability to analyze complex information and recommend creative, practical and high impact solutions under stressful conditions and time constraints
  • Demonstrated flexibility and the ability to adapt to and support change across BGCAZ
  • Highly proficient in Microsoft Office Suite
  • Ability to articulate for giving, serve as an ambassador, engage in relationship building and promote philanthropy
  • Ability to support the efficiency of Volunteers and future workforce needs to support volunteer program operations

WORKING CONDITIONS and DRIVING

  • Travel between BGCAZ Branches, schools and community sites may be required at times
  • Work is performed in our Program Services Center-Administrative offices
