The Gift Processing Specialist is responsible for the recording and acknowledgement of all Fusion Partnerships’ constituents’ data and donations using the Raiser’s Edge (RE) software. This position works closely with the Partner Engagement and Finance teams. Primarily, the Gift Processing Specialist ensures efficiency and timeliness in processing donor information and donations using best practice techniques to maintain optimal data integrity. This position plays a key role in maintaining RE system integrity and a key role in maintaining donor communication and satisfaction through timely donor acknowledgement, donors being the organization’s primary revenue source.

Reports to: Database Administrator

Responsibilities:

Gift Processing/Donor Management (70%)

  • Ensure that all mail, checks, and cash are processed in dual custody by at least two unrelated persons. All batches should be totaled, verified, and signed off by two of the persons working them.
  • Oversee the accurate entry and timely processing of donation data into RE.
  • Oversee the production of timely acknowledgements to donors monthly.
  • Oversee the processing/scanning of donation checks into RE within 24
    hours of receipt.
  • Maintain security of donations and checks. Maintain the system of retention, rotation,
    and secure destruction of donation checks after the prescribed time of retention as
    defined by policy.
  • Review and edit gift records periodically for discrepancies.
  • Update biographical information in constituent records with a goal of having as
    complete and accurate constituent records as possible.
  • Assist the Database Administrator and advise in the creation of a RE Policies and Procedures Manual for staff use.
  • Assist in the training of all staff that use RE, as requested.
  • Assist in the execution of a monthly reconciliation of RE with general ledger and Accounts Receivable.
  • Assist with major donor outreach by communicating the receipt of major donations to Director of Partnerships.
  • Maintain the confidentiality of donor records and encourage others to do likewise.

Grants Management (20%)

  • Coordinate with Partner Engagement Coordinators to ensure the timely entry of all opportunities in RE.
  • Act as the second set of eyes on all opportunity reporting and action deadlines to ensure that nothing is missed.

Administrative Support (10%)

  • As needed serve as liaison between Director of Partnerships and internal and external stakeholders, providing excellent customer service.
  • Provide general administrative support for board related items
  • Perform other duties as assigned.

Requirements:

  • Excellent computer skills with Microsoft Office.
  • Raiser’s Edge or similar fundraising software required.
  • Strong attention to detail with the ability to organize information and priorities.
  • Ability to work in a fast-paced environment and be able to start and resume work on projects amid changing priorities, with integrity in meeting deadlines and data accuracy expectations.
  • Must be a team-oriented person who understands the dynamic of working with a diverse team to achieve organization goals.
  • Ability to interact with the public in a positive manner.

Additional:

The pay range is $45,000 - $58,000 annually, depending on experience to the job requirements. Our generous benefits package includes employer contributions to individual employee health, dental, and vision benefits along with paid holiday, sick and vacation leave benefits and additional benefits.
