The Alzheimer Society of B.C. is adding a dynamic new role within our Resource Development department and is seeking a full-time Development Coordinator, Database and Administration to join our outstanding fundraising team! This is an excellent opportunity to become familiar with database administration as well as administrative and operational procedures related to all the Society’s fundraising events, initiatives and activities, particularly planned giving and gift processing. ABOUT YOU

You have at least 3 years of experience working for a charity. You are excited to immerse yourself in the world of fundraising and be part of a busy and high functioning team. Working within an environment of multiple fundraising activities, you have past database experience, great administrative skills, strong problem-solving skills, a high degree of organizational skills, pay meticulous attention to detail and are eager to support team members in various fundraising initiatives. You also enjoy interacting with donors, ensuring that they get the highest level of service from the Society. You are keen to learn new skills and want to work at an organization that allows you room to grow in your role. You are a team player and can also work well independently.

ABOUT THE POSITION

Working with the Senior Development Officer, Database and Analytics, this position plays a key role in providing essential database and administrative support, as well as developing and maintaining effective processes for internal operations and external stakeholder communication. Working collaboratively to support the success of the fundraising department, the Development Coordinator, Database and Administration will assist in estate administration and ensure efficient, accurate and timely gift processing and capture of associated donor information into the Society’s database (Raiser’s Edge). This role provides essential administrative support to help the Society reach its fundraising goals and ensures compliance with CRA and accounting requirements for estate administration and other gifts.

RESPONSIBILITIES

  • Provides administrative and technical support to the Director of Resource Development and managers, including administration of donor estate files.
  • Collaborates with the Senior Development Officer, Database and Analytics to: (1) Support all gift processing, including gift entry, gift importing, tax receipting and gift troubleshooting. (2)Support gift reporting, including reporting on donations of cash, cheques, credit cards, shares, securities, estates, and gifts-in-kind. (3)Support data integrity in the Raiser’s Edge database, develop and implement database solutions and processes, and train department staff to ensure understanding of the Society’s database structure, coding and procedures.
  • Maintains records and program files, including but not limited to donor, participant and volunteer lists for mail merges and donor data.
  • Prepares mail merges and runs database queries and reports as requested by the team.
  • Communicates in a friendly and professional manner with all the Society’s stakeholders.
  • Maintains a high level of confidentiality and privacy.
  • Provides centralized administration of participation in conferences and events and coordinates logistics for other strategic activities, as necessary, including arranging meetings with partners and stakeholders.
  • Develops and maintains systems critical to organizational efficiency, including sourcing and ordering fundraising supplies, print and promotional materials; ensures event supplies and materials are shipped and received in a timely manner, manages vendor quotes/invoices, expense report and credit card reconciliation.
  • Maintains current knowledge of CRA, regulations, best practices for recording and receipting of gifts.
  • Works collaboratively with team members to support overall fundraising activities.
  • Attendance at all Society Signature events, whether virtual, in-person or hybrid.
  • Other duties as required to meet the needs of the role in relation to departmental goals.

QUALIFICATIONS

  • Post-secondary diploma/degree and 3-5 years of experience, or equivalent of education and experience.
  • As a customer service liaison and ambassador for the Society, utilizes problem-solving skills and is able to interact with volunteers, fundraisers and donors with skill, tact, discretion and compassion.
  • Strong administrative, organizational and time management skills and meticulous attention to detail.
  • Understanding of administrative support tasks, project management and logistical duties.
  • Raiser’s Edge database knowledge and experience or experience working in similar databases.
  • Working knowledge of the Microsoft Office suite of programs, including Word, Excel and PowerPoint.
  • Understanding of or willingness to learn gift processing, including events, bequests, estates, life insurance, tribute gifts.
  • Excellent interpersonal and communication skills.
  • Understanding of or willingness to learn CRA requirements.
  • Ability to multi-task and manage a variety of duties.
  • Ability to work both independently and as a team member; flexibility and ability to work under pressure.
  • Previous knowledge of Alzheimer's disease and/or related dementias is an asset.
  • Occasional weekend and evening work will be required.
