Import Error - suggestions/thoughts welcome

Hello, first post here and fairly new to RE7 so any help would be greatly appreciated!

We've just come across an error with our data. After sending out a mailing a the start of the year we uploaded the recipients and appropriate actions to RE7. The CSV appears to be correct and the mapping seems to be correct. However we have just sent a second mailing and a number of people have been sent two mailings, one to the correct name and one to the incorrect name.

Somewhere along the line the first names have got muddled. Surname and address match correctly, just the first name is wrong (those it is correct in the CSV).

Hope that all makes sense and any thoughts or solutions would be very welcome.

  • Hi @Gemma Kent - Welcome to the BB Community! If all fields are pulling correctly into CSV, is it possible someone did a sort of the data incorrectly? This had happened to me before by the mail house, who inadvertently did not sort the full spreadsheet correctly, and mailings were addressed to the correct person but mailed to the wrong address.

    I'm with @Barbara Kunkel. If the CSV is correct and the data in RE is correct, I would ask some questions about what happened during the mail merge at the mail house (assuming you didn't mail in-house). These types of things can happen if there is some manipulation of the data file after it was created, perhaps to add a field or delete an unnecessary one.

  • Agree with @Dariel Dixon and @Barbara Kunkel. Checking how the record looks in their RE record will tell you whether the error occurred in the recipient upload, or later on in the second appeal's mail processing. I confess I've mixed up contact names myself before, when there was a great deal of manipulation happening in the output file, and had to re-pull the entire list from scratch. Always good to do a spot check on every mailing going out, for quality control purposes.

    If it was, in fact, the import upload that was corrupted, and your donors have the wrong first names in their RE records, then you have a couple choices:

    • You can request a back-up reinstated from Blackbaud
    • Or, (best choice if you've been posting gift batches or other activity in the meantime), you can peruse the records to see if there is anything else messed up, and then re-import from the original (correct) data file to overwrite the mistakes.
