Welcome Series Help - Sending All In 1 Day

I had a welcome series set up last year from when Blackbaud set it up. In July, I revamped the series and tried to set up a new set. However, I can't seem to get them right. The first email goes out fine. The second and third have been going out the same exact day. 


#2 email was written: System Creation Time falls on or before 7 day or days prior to today

#3 email was written: System Creation Time falls on or before 14 day or days prior to today


I thought I copied the verbiage that Blackbaud set up, but not sure where I am going wrong.

    You need another line in there. You are still capturing everyone with your queries. You need a range.

    Welcome Series 1

    System Creation Time falls on or before 1 day or days prior to today

    AND System Creation Time falls on or after 7 day or days prior to today

    Welcome Series 2

    System Creation Time falls on or before 8 day or days prior to today

    AND System Creation Time falls on or after 14 day or days prior to today

    Welcome Series 3

    System Creation Time falls on or before 15 day or days prior to today

    AND System Creation Time falls on or after 21 day or days prior to today


    This should do the trick, on Halloween.... sorry Dad joke ?

  • When this was set up previously, there wasn't a range. Can you explain why that is necessary? I do have that the system creation time was on or after October 19th, 2019. Does that eliminate the need for the range?

    This is straight out of the BB Welcome Series kit. We have done it this way since I started LO about 10 years ago.

    What does email one have for its query?


    You are during 'prior to' for both queries, so it is pulling in everyone for each query. The query doesn't know you want a range from 8-14 days for a week.

    My #2 and #3 have everything but the "member" groups because they aren't needed for these ones.




     
  • It is still pulling in welcome series 2 and 3 together even after following the guidelines. I've been setting up mock email address all over the place to test and it's still not working.  I need this fixed ASAP.

    So without the range, the query will match EVERYONE in your housefile except for the most recent registrants. That is fine, since your welcome series is a recurring email. It sends the same email to the same group each week.


    Now one thing with Luminate, is that it will not send the same email to the same person twice. So everyone gets it once, and then never again *even though they are still in the delivery group*.



    This is fine, but what happens when you want to revamp your welcome series? You disable the old one and make a new welcome email message, and set it up to go to your same group. And BAM - Everyone in the house file gets a new welcome series. It's just prone to this sort of mistake. (I also bet it's a pretty slow send, since it has to slog through your whole housefile to email the 10 new constituents that week.) With the range, old cons can never mistakenly get welcomed again.



    Why WOULD you want it without the range? The one thing your queries do is they will send a welcome email to an old constituent that recently supplied an email address, or opted into communications. They aren't a new cons, but they are newly accepting email - so you welcome them but we do not.



    That Date -- I'm betting that date is when you first began this welcome series, and you didn't want to welcome your existing constituents. So your query doesn't quite pull in your whole house file, but it still pulls in tons of constituents that have already been welcomed.

    Go check each group's info tab. Is it a rebuildable group? You should see...

    [x] Periodically rebuild group membership?

    [x] Once per Day


    Click 'Rebuild Group'. If you are using the range now it should be about 5 members. If it's a ton there is something wrong with the query or the group.
