Events - Guests / Constituents

Options
Trying to solicit best practices for entering guests into Raiser's Edge.  Do you make ALL guests constituent records?  Do you leave guests as participants until they pay or show up again?  Currently our practice has been to enter guests as guests and not make a constituent record for the person; however, we want to ensure that we are following best practices for Higher Education event management.

  • We do the same thing as you do.  Good to hear what we are doing is also being done by you.  I'll be interested to see what others are doing.

  • Hi Judith - my organization has the Events module - so within the event in Raiser's Edge we only add guests as guests. However, the person buying the tickets has a transaction so they get a constituent record.

    We often use event registrations to build up our contact lists. So if people opt in via their registration (as a guest or as the payee) we add them as constituents. Otherwise, we only convert them to a constituent if they transact with us further (donate at the event, opt in via a card at the event etc.)

    We will create a constituent record if the person registering is a parent or grandparent of a student, as long as they are in separate addresses.  If the parent registers, has a constituency record, and also registers their son, who does not have a constituency record, we would then register the son as a guest of the parent.  The address is the determining factor for us.  Let me know if you have any questions.
