What do you do regularly for your data hygiene?

Good morning Raiser's Edge users!


I was wondering what other people do on a regular basis to keep their data clean. I'm interested in starting a monthly checklist of things to do to keep our data clean (like going through the dedupe list).


Does anyone have a "data health routine" that they go through on a regular basis? What do you do?

  • I have a growing list and most of them are ideally done weekly:


    Check Addressee and Salutation settings on newly created or updated records; this is done weekly to make sure any list pulls for mailings have the appropriate entries there

    Check the individual relationship records for organizations; this one is pretty disorganized for me at the moment, but the ideal is that on at least an annual basis I'm double checking that both the individuals attached to an org are the correct ones but that the appropriate contact types are assigned to the correct individual (again, this is mainly so that things like acknowledgement letters are automatically going to the right person)

    Check individuals registered as guests via the Event module and Online Express registration process to see if they are spouses of the ticket purchaser

    Make sure our Donor Advised Funds are connected to the appropriate other constituent accounts (both the DAF master account (Fidelity Charitable for example) and the fund advisor (the donor))

    Make sure all solicitor assignments are filled out in full (primarily checking for type)

    Make sure all gifts are recognized to an active solicitor

  • Another that we're just starting to grapple with:


    As we have the prospect module with its attendant Proposals (database view) and Opportunities (web view), making sure that actions are added to the appropriate proposal/opportunity and also making sure that awarded gifts are tied to the proposal/opportunity.  Primarily we only use the proposals/opportunities for our grants, so it's thankfully only one fundraiser on my end to work with on this.
  • Amongst others: checking for contradictory solicit codes; checking for weird stuff in the nickname field (a lot of them come across from our student record system and sometimes they seem to use the field for name-related comments); phone numbers/email addresses with the wrong type; invalid email addresses (e.g. contains spaces or doesn't have an @); relationship/reciprocal types the wrong way around; mismatching prospect classifications/statuses.

  • As well as a long list of queries like others mention, I run three plugins at least once a month when I am the only person logged in.
    • Remove blank address lines
    • Apply phone formats
    • Mark phones primary - make email primary. If you ever want to use email in NXT Webview the address needs to be marked primary. We only have one email address per record called "Email" and it is always the primary email but not always manually marked primary. Other email addresses are recorded as Email 2 etc.
