Latest/Largest Gift Amount- gifts entered separately by fund

Hi, we will be going live in Raiser's Edge for the second time around in February and I'm beginning to create exports and reports. 


We will be splitting gifts by fund and entering them separately when they are entered but they will have the same gift date.  I'm wondering how to add these together so we can get an accurate last or largest gift amount?  We are hosted so I don't have access to the tables.  I've searched the community and they only answer I found is don't split gifts. frown

Here's an example:

On Dec. 31 a donor gives $125 to the Annual Fund and $125 to the Library Renovation.  How can I have it show $250?


Would I have to do a gift export and a constituent export then link the last gift date to get only those gifts with that gift date somehow in Crystal?  If I have to do it in Crystal I can by grouping or a subreport?

  • We also split gifts by fund in the same way. There's no need to add the amounts together to get the total value, as the gift amount will show the full $250 just as it would for a non-split gift; it's the fund split amounts (which is the Amount field that you can see once you expand the Fund node in the export field list) that will show $125 to each fund. If you export the amount and fund information using the top-level fields and don't include any fields from within the Fund node, you should be able to get the full amount and avoid any duplication issues that can sometimes arise when splitting gifts.


    This won't allow you to see what proportion of the gift went to each fund though, so you won't know from the exported data whether it was $125/$125, $200/$50 etc. That may or may not be an issue, depending on what the purpose of the report is.
  • Thanks for replying!  I don't think it's as easy as that.  The gifts are actually entered separately so two different gift entries with different Gift IDs.  So I need to roll them up for each gift date. 

    When I pull in last gift amount I am only getting the $125 amount, it doesn't realize there is another gift on the same day for $125.


    Maybe I'm missing something?

    I'm not sure you can pull the last gift amount and have it pull information for multiple gifts if you are not using the split gift functionality, and entering them as separate gifts.  I'm almost sure it is coded to look strictly at the last gift as a singular entity.

    I misread her post at first also. Rereading - She "splitting the gifts"/separate gifts at entry not using the split gift function so it will not pull. 
  • I updated the subject of my post.  I didn't realize split could mean so many things! 

    I understand it may be complicated, has anyone done this in Crystal reports to get the max(date) then sum on the amount?  I'm familiar with some sql but at a loss with Crystal or Export.
  • I did find this KB article which helps a lot on doing the last gift in Crystal.  I'm getting closer.
