Query exporting incorrect info

Options
Hi all

I'm trying to run a query that pulls up a the entire giving history of all of our supporters. I need details of all cash gifts (amount, date, appeal) and details of recurring gifts (frequency, amount, start date, last  recurring gift date). My trouble is, I have instalment frequencies coming up for one off cash gifts that shouldn't be there. Does anyone have any ideas what could be causing this? Ta!

The infamous RE mantra: Query is a grouping tool. Use Export to pull data.

Are you using a constituent or gift query? If constituent, a query will frequently pull data user does not need/want as the constituent meets other query criteria.
  • Thanks. I completely agree and would always use export over query output, except in this case I need the individual gifts displayed vertically (each gift in a separate row) rather than horizontally (every gift on the same row) as you'd get in an export. This also doesn't explain why information is factually incorrect (eg cash gifts showing an arbitrary annual/single instalment frequency, even when they're not recurring gifts). There's nothing anywhere within the gift records to indicate an instalment frequency unless it's setup as a direct debit. I'm using a constituent query as I need the filters to be that the individual has received at least 1 appeal and they don't have a mail exclusion. I couldn't find any way of doing this in a gift or appeal query.
  • Hi Victoria-

For what it's worth I ran a test and entered one gift of every Gift Type on my constituent record and the only Gift Type that provides me an Installment Tab is Pledge. If you are seeing Installments on a gift, my guess is those gifts are Pledges. I can't find a way to enter Installments for any gift of Gift Type Cash, Stock/Property, Gift In Kind, Other, Recurring Gift, or Planned Gift.

  • Victoria Kingstone‍, you can still base a Gift Export on a Constituent Query.  That will let you use Query to select which Constituents to look at and still get one line per Gift in the Exported data.
