Moving to NXT - need to delete lots of constituent records

Options
Hi Everyone! We're making the move to NXT and need to reduce our constituent record count. My predecessors added thousands of deceased individuals to our database just in case we got a tribute gift for any of them! I am not kidding! I'm putting together criteria to do a global delete of these records and am wondering if someone has done the same and can share some tips?? Of course, I want to delete anyone who has never made a gift, never had a note or action added to their record, etc. Thanks!!

  • Robin, see the home page of my website at www.billconnors.com -- there's a whole white paper I wrote on this topic, including an appendix with query examples.
  • Thanks, Bill! After reading your white paper and playing with writing some queries, I've decided against any constituent record deletions. It's just not worth the pain!!
  • I think you can mark those records as inactive and they aren't included in the constituent count :)

    Hi Suzie,

Is that a change? The last I heard was that inactivating wouldn't exclude a record from the constituent count for RENXT, and the only way to exclude them from the count was to actually delete the record.

  • It does seem unlikely that Blackbaud would have such an obvious loophole in their pricing policy: simply mark all your constituents inactive and pay the minimum charge! surprise
  • Looks like you are right, I can't remember where I read that you could mark as inactive, but here is a good read on whether to delete or not delete records when considering moving to NXT http://www.billconnors.com/media/Raisers%20Edge%20NXT%20Pricing%20-%20To%20Delete%20or%20Not%20Delete%20Constituents.pdf

Hope that helps a bit :)
