Fiscal Year Batch changing

Options

Can anyone that is on a Fiscal Year, tell me how to change the batch year. July 1st was the beginning of our new fiscal year and I went online and chatted with BB support and the support person said this.... When selecting the option to "Reset numbering at the start of a new year", this will be based on Calendar Year. It is not an available option to reset the numbering based on new fiscal year.

I believe that I have seen this done before and for audit purposes wouldn't you want to start the new fiscal year with the correct Batch 2019-1.

Can anyone tell me how this is done?

    You will need user rights to access Business Rules > Batch Options. Here you can select/change prefix.


    We're on cal year so not an issue here but...I think the work around might be to change next available batch to 201900001. Enough "0" to cover anticipated receipts for the year. Not sure if you can put in a "-" and have it count up or not. And then do not check the box to include prefix with a year.


    Maybe test it in the sample data base. Just trying to think outside the RE box. LOL

    Yes, you can use dashes in your batch id's. I used 2018-1 as the starting number for this year, when I came back from Christmas break in January. Even though we operate on a fiscal year, I have just used calendar year for batches. Our fiscal year just started and I haven't entered any gifts yet. Hmm. I will have to decide if I want to switch to fiscal year on my batches. That probably makes better sense for our organization.

    Yes dash is an option if you're using the calendar year. Check box asks if you want to use it. Not sure it is if you're doing a workaround without testing. RE may not recognize as a number if you 'free-text' your format.
  • Yes I have done as you suggested uncheck the box where it puts the calendar year in and made my numbering 20190001 it wouldn't let me put any dashes in when I create it but I can go back and fix it and save it with a dash in.

  • In also trying to think outside the RE box.... as long as you have 2019 as your starting "prefix," why does the batch number need to start with 1 at all?  Why couldn't it start with 2019-9000?

    I am sure starting at 9000 is ok, our organization just likes to start from the beginning every year, not sure if it is an audit thing or not, I am just following past practices. but it could be 9001 and I think it would still be ok..

  • I share the same desire. I would think the easiest fix is for Blackbaud to add either the calendar or fiscal year option, rather than have all their users create new schemes. BLACKBAUD, are you listening?
