Top Donors

Hello!!

We are looking to pull a report and/or export with the following information (p.s. BB said it can't be done). I will not take NO for an answer!


Criteria:

-Top 100 Campaign Donors


Output options (in query/export)

-Campaign Pledge amount

-Campaign Pledge balance

It wouldn't hurt to add Donor Bio info as well...but that part is easy!

  • So my guess would be that BB is saying it can't be done because of the "top 100" part, however with a little manual work on your end it should be fairly straightforward.


    So my first instinct would be to create a gift query of all your campaign gifts by summary gift amount ( that would cover the event that a donor made more than one gift to the same campaign), export the summary gift amounts and then sort from largest to smallest in excel, that will establish what the gift range for the top 100 gifts would be. For example if top 100 donors made total gift amounts ranging from 1,000-10,000 you could then add that criteria to your original query and use that query to run an export. 


    I think that would work, you should be able to test it fairly quickly! Good luck!

    Although you can't specify in a query or report to give you the top 100, you can export all donors to your campaign and sort by the amount they've given and take the first 100. Depending upon your goal there are a number of ways to do this. If you want to take a peak at what this would look like, use a Constituent query, in your criteria constrain the Gift Type to Pledges and constrain your Campaign to the one of interest and then output Gift Amount, Pledge Balance, and include a summary of gifts given to the campaign.


    Of course you'll be told by others that you should do this work in Export and it's true, but practicing with query will give you sense if you are headed in the right direction.

    I see Claudia recommended using a Gift query, but note that you can't do Gift Summaries in a Gift query. For summaries you need to use a Constituent query. If you did not need summaries for total giving to a Campaign, then I would use a Gift query as she suggested.

    You can't limit output for dynamic queries but you can for static ones:

    (I've never quite understood why you can't do this with dynamic queries, btw. It seems like a strange limitation. Does anyone know?)

    Like the static query option to limit records.


    Also wondering if Reports>Analytic>Top Donors would give you the query you need to take to Export?

    I did try the Top Donor report, created an output query then exported that and it was a tad messy. There were not enough columns, some columns showed paid amnounts, some pledges were missing. I still need to fine tune it.

    Just to clarify, to me taking a query to Export is to the Export function, not running an export with in query. There's quite a difference in what you can do.

    Use the Analytical Reports --> Top Donors.  It's a canned report and you can finesse the perimeters of Campaign etc.  You have the choice to save that report as a Query.  If you do that you can pull that query through Export and output whatever info you want.  I don't know why BB thinks it is impossible rocket science.  I do this at least once a year for my team.
