How can I Convert a TR Registration to a Donation?

Occasionally, an organization will wish to change the registration fee for a TeamRaiser participant into a donation. There are two ways to do this - the correct way, and the easy way:

1) The correct way: delete the registration, re-register the participant offline, and soft credit any gifts made to the participant back to themselves. This is a bit more difficult, but more accurate way to process.

a) Go to Fundraising > TeamRaiser

b) Manage the event in question

c) Find the participant in question. Note the gifts that are currently assigned to the participant, their team membership, and the answers to their registration questions.

d) Remove the participant from their team (click the "Change team membership" link, then the "Remove participant from all teams" link).

e) Make the registration inactive (with the "Make Inactive" button on the upper right).

f) Delete the registration (with the "Delete registration records" link). Read the confirmation page, and choose the option to "Convert the registration payment to a gift that is soft-credited to the event".

g) Click the "Register a Participant" link

h) Find the contact in question

i) Select the appropriate team membership options and participation type options, choose the option to "Enter Different Registration Fee" (entering $0 amount), and click the "Record Cash" button. Now that the participant is registered again.

j) Update their registration questions to match their previous registration (with the "Edit Registration information" link)

k) Soft credit the gifts that were previously made to the participant back to them (by finding the donor in the C360, going to their Transactions tab, clicking the "Soft Credit" link for the appropriate gifts, and assigning them to the participant).

2) The easy way: refund the original registration, and add an offline (cash) gift for the donation. Specifically:

a) Go to Fundraising > TeamRaiser

b) Manage the event in question

c) Find the participant in question

d) Click the "Refund" link on the left side of their registration information

e) Choose the appropriate options for the amount to refund, and select "No, the participant has already been reimbursed or will be reimbursed offline". This will remove the registration fee.

f) Click the "Enter Offline Gift" link, enter the participant's information for the donor, and a donation amount equal to the amount that was refunded.

g) Choose the option to record as a cash donation, and make a note to yourself that this "cash" donation has already been processed by credit card.
