Recent Gala Event-Do you use the RE events module?

We just held our annual gala on Friday, May 4 and it went well! We used the events module in RE and from that exported our guest list.


Is this the way others have typically done it? I'm always looking for ways to improve or simpify the process!

    That's how we do it!

    I always include the Constituent ID AND the Participant Import ID on the Participant Grid within the Event record. I also include "Guest of" for any guests and the number of guests someone has registered with.


    I hide the IDs when I print the list, but I save the Excel file and use it to update an Attended column with "Yes". Then, I just have to re-import the list (and if I got any guest names or emails or whatever, I can update their participant records at the same time) and it's mostly easy.


    I like using the "guest of" and the number of guests in the output so that it's easy to group them. I always edit the file to make someone a guest of themself, then do a double sort: first by the "number of guests" column, so that the hosts drift to the top, then by "guest of" last name, so that it alphabetizes and all the guests get grouped under their host.


    When I was managing member events at the museum the last few years, we used Eventbrite for registrations and it was awful for me, but our communications team didn't have RE/BBNC access and they liked the social features. I would do mostly the same thing - print out the Eventbrite list and transfer the "attended" numbers to a spreadsheet for any RE constituents. If they weren't a constituent and didn't have enough identifying information, I would just update the "number attended" manually with them and make a note of how many there were. I always preferred doing everything in RE, especially with the global add and import options!
