HUGE thanks for everyone who came out this afternoon for our web seminar: Downloading Transactions in Online Express! As usual, we had some fantastic questions from our attendees that I wanted to post about here. 

Is there a test credit card # that we can use to test Online Express setup?
Yes, there are actually two methods to test Online Express transactions. (1) First, you can temporarily change your Blackbaud Merchant Services Account to run in Demo Mode and use test credit card numbers OR (2) you can test by making a small donation using a personal or organizational credit card and refunding the card later. This article has specific steps on how to do each method and contains the test credit card numbers: How to test Online Express forms with credit cards. 

Can you link an organization constituent? What setting do you have to have to allow you to see organizations, I only see individuals listed when I am linking?

If your donation form is set up to accept donations from organizations (this is a checkbox on the Extras Tab when creating your form), when you download transactions, you'll see a separate section for organization linking:

You can use similiar options in this screen to Find Organization to search for an organization or click Create New to create a new organization record. 


You'll also see above the Organization linking, we still have an area to do individual constituent linking, so we can also link the contact making the donation on the organization's behalf. This will populate the billing information on the gift record. Here's an example of the final gift record:

If you realize you don't have the option checked to make gifts on organization's behalf and you have to create an individual record, one suggestion might be to go ahead and create the Individual Record for that donation, then once the record is in The Raiser's Edge, convert that Record to an Organization Record. Or if the Organization already exists in your database, you could merge the Records together.

Going back to the question in regards to organization contacts, if you were the contact but didn't have your own record, would it auto match you?

No, in order to auto match, the constituent must have it's own record. 

What about Event Transactions?
While this webinar didn't cover event transactions, the interface for downloading event transactions is very similiar! The primary difference is that you will only be linking the host/person paying for the event registration to an existing constituent in RE. If that person is naming any guests, those guests will be added to your event as a participant record only (but you can certainly link those participants to constituent records later if you'd like!) Here is a great video demonstrating how to download an event registration. If you prefer written instructions, we also have step-by-step instructions here.

    I'm still confused on the individual making a gift on behalf of the organization. In your example, are you saying that you would have to create a record for Thomas Jones in order to process the transaction? That makes no sense. We have individual relationship records set up as contacts for a business, but we do not want them to have their own record in RE; they are simply the contact.

    Hi Barbara, 


    Yes, that's correct. The Raiser's Edge will create a constituent record for the contact making the gift on behalf of the organization. If you don't want the contact to have their own record, you can always delete the constituent record for the contact after the transaction is fully processed. We also have an idea in our Idea Bank: OLX should stop creating individual records when a company makes an online donation - it would be an interesting new feature idea to specify how your organization wants to track contacts when someone is making a donation on behalf of your company - definitely add your vote if this is something you'd like to see! 


    In the meantime, I would love to see if others have suggestions for you Barbara. What is your organization's process for tracking business contacts from online gifts?
