Opt Out Quandy

Hi!

I am having some problems determining best practices for data entry regarding email opt outs. We have people who have opted out of receiving our newsletter or direct mail solicitations, so I thought about marking them as inactive, but we are still going to be (and have permission to) send them more focused emails, such as upcoming events for being members of a group, and we want to have them available for one-on-one communication.  Is the best way to just create a bunch of solicit codes and use those? Any ideas?

  • Definitely Solicit Codes or a change to the Phone Type (Email Type). Don't mark someone as Inactive simply because they asked not to receive your emails. Another option is to create a new Email Type and change their Email Type to that new type, something like OPTED-OUT or UNSUBSCRIBED. That will allow you to leave the email address active (because it is valid) and when you use Export to obtain email addresses, don't Export phones of type OPTED-OUT or UNSUBSCRIBED. You could also mark the email address as DNC, but unfortunately that cannot be done via Import which is how I would make Email Type updates like this.

  • You might also consider creating  some 'opt-in' codes.  We use solicit codes to opt-out and an attribute to opt-in.  We created an Attribute and named it Communication Preferences to track those people who don't want this (solicit codes) but do want this (attribute).  Under the Communication Preferences attribute we have a list of all the newsletters and other communications we send.  This also allows us to capture those who want a mailing, but otherwise wouldn't meet the criteria.
