Online Express - emailing to Orgs

Options
Hi,

OLX   - I'm looking for best practice for emailing to organizations.  How do I get my email to include the first name of the contact for the org. to insert into the salutation field (I don't see an option for contact: contact salutation: First Name for my merge field).

Any help will be appreciated - thanks, Cathy

    Hi Cathy,

If I understand your question correctly, one workaround would be to create or use a specific Relationship code for the contacts (i.e, instead of Contact Type: Business Manager, use Relationship: Business Manager ). For the list in OLX: 1) Check the box to "Send to Individual & org relationship records," 2) Select the relationship type to include 3) Add the org Query.  For the merge field in the email use either the "First Name/OrgName" or "First Name" or "Primary Salutation" field. Either will work.

Teresa, I am glad to here this...The last two organizations I have worked for have needed to multiple contact types and for no better reason than tracking former contacts, I started using the contact type in the relationship field. Glad to know that I unknowingly set relationships up in a way that will work with OLX, which I am in the the process of adopting...Previously I have only used Net Community and Luminate Online which were a bit more flexible.

    Thanks for the good news,

    Alan

Thank you for the tip, although there are a lot of variables that can come into play which I don't fully understand and maybe you do and can give a deeper explanation.

For example, I just tested the above steps, and found that if there is an email address (that is one of the mapped email addresses) on the Organization record as well as on the Contact record (which is now included because of following the steps above), and if the email addresses are different, two emails are sent - one to the organization's email address that says "Dear Organization Name," and one to the contact that says "Dear Contact Primary Salutation,".

I did another test to see if both email addresses (on the Org record and the Contact record) what happens, and it only sent one email to the email address that said, "Dear Organization Name," - I guess it overrode the Contact and only sent to the Org record because the email address was the same?

The other variable which I don't understand what happens is if the Contact person is linked in Relationships to an Individual record and I want it to only be addressed to the Contact person themselves, and not, say, them and their wife, do I have to unlink the records and make the Contact person a non-constituent relationship where I can edit the addressees/salutations?

I ended up with more questions than I started out with when I thought I was looking for a simple solution, but I find out more and more that there aren't many simple solutions when it comes to OLX! cryingfrowncheeky

Thanks for any light you can shed!

Sorry, second test explanation should say, "I did another test to see if both email addresses were the same (on the Org record and the Contact record)..."
