Withdrawn or Non-Graduates in Raiser's Edge

I would like to know how you mark Non-Graduates or students that have Withdrawn within Riaser's Edge.

    We mark non-graduates in our system by a constituent code of Alum Non-Degreed and then on the Education tab in the status we have a drop down of Did not graduate and one of Current student with a constituent code of Student; however, we do not have many students in our system.  At our University, most of the University is in Banner and University Advancement and the Foundation are in Raiser's Edge so we do not have students in our system unless they have donated or attended an event, etc.  I would think in the status you could add and then add a withdrawn student status/constituent code and/or an attribute on the education record.

  • Like Judith, we mark students how did not graduate with the constituent code of "Attended" if they were with us less than 2 years or "Alumni" if over 2 years. Students who gradiated are coded as "Graduate".

    On the education tab we populate the date entered and date left. We also add an eduaction attribute we call "Status" and add the reason they left. We pick one of the following: Exchange Student, Expelled, Graduated early, Leave of Absence, Studing a year abroad, Withdraw/not returning, Gap year.

    In addition I add a note with the category "Admissions" with any backup information on why the student left.

    I figure that covers all of our bases.

    I have always kept Constit Codes that are AlumNonGrad and/or StudentWithdrawn.  Kind of depends on your school community how you want to label them.  I worked in one school that had a history that included students that either left before graduating due to life circumstances and the period in history in which they were enrolled, and others that had been expelled.  No matter the circumstance most of them wanted info on reunions and other activities that were alum related and so we went with the NonGrad code and could include them or not. 

    Other schools I have been at has just wanted them to be StudentWithdrawn and the way in which they exited is kept confidential and not given to the the Development/Alum office.  If those former students still want contact after leaving, then they were marked with a Solicit Code ot include them in some alum related things, but in general not everything.

    We have coded them in Attributes as 36+ credits and Alumni in Constituent Code.  I will rethink how we are coding these particular past students.  


    LBCC switched their college database in 1994 from one system over to Banner.  Since 1994 we have been on Banner and I download our grads/students from Banner and import records into Raiser's Edge.  We have always had a strong articulation with our local universities, and for some reson prior to 1994, students were not coded as graduates with an AA/AAS/AAOT.  However, we don't have data on those who attended prior to 1994 on whether they graduated/transfered/withdrew before completeing their Major.  


    Attributes are a great options for coding specific individuals.  For instance, if they were involved in Phi Theta Kappa, or a club, like Livestock Judging Team.  This may be an option for you to add the Attribute Withdrew, Expelled, etc., on those records.

    We are currently discussing this as well.  


    In the past, our students didn't become constituents in RE until they graduated (We are a K12 school).  So currently, we have a lot of non-grad students who are still linked to their parent's record, and therefore don't have the option for their own constituent code or attribute.  This recently came up in a discussion about marking certain scholarship students with an attribute, and there are some we can't mark because they left before graduating for whatever reason.  Usually Development isn't privy to those reasons.


    So, we're wondering if we should be going back and taking all of those former students and making them into their own constituents or not.

    We are a PreK-12 private school, using the ON suite of products on the school side, and Raiser's Edge for the Foundation. We have all our student records built as constituents (leftover from conversion). When a student leaves the school without graduating, we do multiple things within the constituent record...
    1. We store as much information on the Education relationship record as possible, but we uncheck "Primary Alumni information." We also marked the student with a "Withdrawn" status, and list the date left. We add Notes if we know the circumstances.
    2. We also use a constituent code of "Former Student" (and "Former Parent" for the parents).
    3. We mark them "Do Not Solicit."

    Hi Christine,

    It took me awhile to rejoin this discussion, but I was wondering if you could share a few more details.  Our school, like yours, will have nongrads who want to attend reunions and regional events.  Would you mind sharing your table of constituent codes for Bio 2 and identify any other fields and table entries that you populate for this?  Also, do you add them into RE as a constituent record with the rest of their class?
