Online Express email queries not updating

Options
Hi BBCommunity.  Looking for some help.  Has anyone been having issues with the email queries not refreshing when sending communications to existing email lists?  I get a popup box that says it is refreshing the list, but when I had some event participants complain they were not receiving communications I check my email stats and the new registrants were not added to the email list.  I worked with support and did some testing and discovered this is happening with all my lists.  We run events just about every weekend throughout the summer and we depend updating these manually is not an option which means moving back to a thrid party.  I've been work SO hard to get our entire organization to move INTO the RE world and now I'm feeling a bit frustrated that it isn't working.  Any work around or advice would be welcome.  Below are the steps I took:
  1. Create dynamic query in Raiser's Edge
  2. Create email list and include that query.
  3. Send email, all recipients receive email.
  4. Update query in Raiser's Edge and save to get new results
  5. Send email using same list.
  6. Email should go to new batch of recipients based on updated results, but instead, goes to original list.

  • Not sure from what you've posted, but even if this isn't the cause of your issues, it's a good thing to be aware of...

If you create your Query & OLX List, then design your Message and schedule it for delivery, then make updates to your Query (including adding new Constituent Records to RE that fit the criteria of the existing dynamic Query), those new records will not receive the Message.  OLX refreshes the List at the time that the Message is Scheduled, not when it actually sends.

I don't think this is likely to be your problem, but as I said, it's good to be aware of...and not learn the hard way.

That is one thing I didn't know.  I do have several scheduled messages and was not aware they don't update after being scheduled.  That said this happens even when I send a newly created message to an existing list based on a dynamic query.  The mailing list doesn't update even after I've verified the query includes the updates.  I've been told that I need to "edit" and "save & close" each mailing list before I send an email update out.  It's very time consuming and frustrating.  My team will most likely revert back to using CC or outlook which doesn't capture the information in our system.  =(
