Export skipping seemingly random records

Hi All,

I have some exports seem to randomly skip records in the output. I can't see anything that may point to attempting to export too much data, as we are talking around 70 records, and the records skipped are somewhere in the middle of the data, not at the beginning or end.


I am using 2 queries, one is a constituent query with event participation information (I need to do this as a constituent query as otherwise I don't get the required alumni information), the other based on a participant query. Each query is used in two different exports (one for badges, one for placecards) using the Blackbaud Simple Word Merge function. They were initially run on Friday, and weirdly enough, when re-running today, the exports based on the constituent export now output 2 of the missing records. The constituent export has about 70 records, the participant export has about 20.


I am a bit stumped as there doesn't seem to be anything obvious that the skipped records have in common, or that differentiates them significantly from the other records that were output properly. Has anyone experienced this before, if yes can you point me to what to look for?

  • I'm sure you've already checked this, but is it excluding people who are marked as inactive, deceased, no valid address, or do you have your Head of Household processing set to anything other than "export both constituents separately"?

    Yes I did check those things, but wouldn't be the first time that I got caught out by something like that :)


    I did solve it now - the Word merge template accessed through the Export needs to have enough pages/fields to cover for all records. Prior to patch 8 (on RE7.96 - forgot to mention that in my original post), this was obvious as the export would simply stop outputting data after the first page, but it seemed that Patch 8 had fixed this and the export would add pages to the Word document as needed. However this now seems to do the less obvious thing of skipping records.


    Hope this helps in case anyone else comes accross this.

    Do you  have the event module?  You mentioned event participation.  If you have the Event Module and are pulling a Constituent query -- if every person in the Event module does not have a constituent record in RE, then they will not pull through a constituent query.  The Event module is a bit of an island unto itself.  I have worked in schools and know this need of having the alum info, which you cannot get in any event queries or exports.  That could be your "randome" missing folks.  No constit record, no show in constit query.
