Downloading Transactions through Online Express

Hello BB Community! Our organization is fairly new to Online Express (less than a year) and still very new to Blackbaud in general (one year exactly!). I was hoping someone could clarify a few things for me.


Whenever we run a BBMS Report, we save the excel document and always enter the credit card transcations manually in a batch in RE. However, now that we have been using Online Express more often, I noticed that whenever an online transcation occurs through Online Express, there is a way to download all transcations straight through Online Express! Never knew that was a tool we could use. 1.) Could someone explain what steps they take for that process (ex: how to get all the donor information from the transaction to RE).

2.) Is there a way to download the old transcations but NOT enter them in a batch? Like I said above, we always entered it manually in the past so I don't want to duplicate the gifts. However, I don't want the "Download Transcations" count to continue to increase- any way to clear it?


Any tips/information would be very helpful!!

  • There are videos under the OLX Help Menu on how to download transactions.  Also, there is a recording of a webinar from 08 Feb 2018 here.


    As for your backlog, you can download the transactions to a Batch and then not commit the Batch (or delete it).  This will provide you a way to retain any other information that is in the transaction record but has not been entered in RE (Constituent information and Gift information that you can add to the existing Gift Records from the Batch that OLX creates).


    I believe you can delete transactions without downloading them.  But I am not in a position at the moment to look at this.

    Jen is correct, you can delete transactions in OLX. Select the transactions you don't want and then go to 'Edit' > 'Delete Selected Transactions'.


    That being said, I would suggest that downloading these 'unwanted' transactions to a batch (not committing it) and then not deleting it until you're sure it doesn't contain information you might need later.
