How do I suppress a constituent from my EOY campaign?

I just got the following question from Jessica Forkner at Presbyterian Children's Homes & Services :

I've got a donor who needs to not receive our last EOY message. For this and future reference, is there a way we can suppress people as needed from these big mailings? Or maybe we can talk about that during our next office hour?

We can definitely go over this in our next office hour, but I'd also like to provide some instructions for what you can do right now to suppress this constituent. Since you designated a suppression list for your EOY fundraising campaign, you can merely add this constituent to that list using the following directions:

  1. Go to Constituent360 > Groups

  2. You'll see there are many, many groups listed here. You can find your campaign suppression list using the search box at the top of the list. For End-of-Year campaigns, this should be something like "EOY Suppression List"

  3. Once you've found your suppression group, click "View Members" under the actions column

  4. You should see a list of members of this group. You may want to search this list to check whether the person you'd like to suppress is already part of this list.

  5. If the person you need to suppress isn't already on this list, click the "Add Members" link that is just above and to the right of the members list.

  6. On the next screen that appears, you can add one or more constituents to this suppression list. Note that first and last names are required - I recommend using the constituent's first name, last name, and email address to add them to your suppression list.

  7. Once you've typed in the constituent(s') information, click the "Save" button (upper-left and again at the lower-left corners of the list). If the constituents you're adding are already in your database, Convio will either add them to your suppression list using their existing records, or prompt you to confirm which record(s) to use if there are multiple possible matches.

You're done! These constituents will not receive any future messages for this specific campaign. You can confirm that by going to Email > Email Campaigns and "Reviewing" any message that is part of this campaign and scheduled for delivery. Your suppression list should already be part of the "Do Not Mail Groups" list.

If anyone tries these steps and isn't able to add constituents to a suppression group, please post back to this thread and a member of the Go! team will update your administrative access. We've discovered several administrators who (erroneously) do not have this access right now.

    Is that how it was supposed to be? Or was this group supposed to be excluded from the whole campaign?

    Yes - That's right. We didn't suppress anyone from the eCard message, since the primary focus of that particular communication was stewardship.

    I should add that there may be Go! clients who explicitly asked us to apply their suppression list to the eCard as well, but we otherwise treated it as a list to exclude from EOY direct solicitations.
