Problem adding survey respondents to a Group

I've set up a survey to register people for a free event, using that as a work-around for various reasons I won't go into here. But unlike an event registration, the respondents don't seem to automatically get added to a Constituent Group for the survey. So I've been trying to get them added to a group. I went to Surveys >> Download Report >> View, and there's a link at the top, "Add results to group." Tried that, went through the process in the pop-ups, but only 4 out of the 200 entries got captured.

Here's how I understand the situation: Unfortunately I had left the survey questions set to the default "Do not update constituent record." The 4 who did get into the group were already registered as constituents. My mistake was to leave the survey questions set to the default, "Do not update constituent record." If I had set it to update, it wouldI assumehave created constituent records for the ones not previously in the system, tagging the "first name" question to the "first name" biographical data field and so on. I've switched the question attributes so they do update a contact record. But I assume that isn't going to do anything to the existing records.

Assuming this is all more or less correct, is there some way to get all the existing respondents turned into constituents short of exporting a CSV and re-importing them all? All those new emails are in there, but relatively useless right now unless I can figure out how to get them into a group so we can target them specifically.

  • You could try using report writer -- look for interactions where that survey was submitted...

    Although given what you say below, I'm not sure why it would let you there and not from the survey results, but it's worth a shot.

    From report writer you can add people to a group once the report is run.

  • Since groups are sets of consituent records if the survey result did not create a constituent record then there isn't a record to put in to a group. To get a survey response to create a constituent record you need to make sure to include the constituent registration information question. When you setup a survey or edit an existing survey you can specify as a individual submits the survey get added to a group this is done using the Associate Group and Interest link under releated actions. This will catch your respondents going forward. If you can confirm your respondants that have taken the survey have had constituent records created then I would suggest you either download the survey results and reformat this to be a group upload using primary email address. The second idea that was already mentioned that you might be able to use the report writer interaction report. Report writer does have the functionality to add all members of the report to a group.

    If you continue to find that the Add results to group link continues to not work I would suggest that you file a support ticket so that this can be looked into and if there is a bug in the product we can get that filed.

    I'm pretty sure you can create a new group when you go to upload the survey respondents, or when you add the users to a group using report writer.

    But you could also create one ahead of time, under Constituent360 > groups and then add to it using one of the messages described above.
