Deleting a Registration Record

Options

When managing a TeamRaiser event, I noticed a "delete registration records" link for an inactive participant.

I read the Help documentation for this action but it wasn't clear to me if this would only delete the participant's

information related to that specific TeamRaiser event or if it would affect other records that might exist for the

them if they are a returning participant and gathered donations last year.

Questions:

1. Does the participant have to be inactive first in order to see this link?

2. What are the consequences of using this "delete registration records" link?

For example, I have a user who participated in the DC walk last year. We redesigned our website this year, so as a test,

she registered for a walk in NY and now I want to make sure only actual participants of the NY walk are listed.

Would I be able to remove her from the NY safely and not have the removal affect her record for last year's DC walk?

Steps I am thinking of doing:

1. Manage the TR event

2. Find user

3. Make her record inactive

4. Click the "delete registration records" link

5. Click Finish

Please let me know the best way to approach this situation.

  • Hi Susan,

1.) Yes, the participant must be inactive for you to see the delete link. The participant must also not be a team captain.

2.) The consequences of deleting a registration are as follows:

    • All gifts given to the participant will be soft credited to the event.

    • The participation record for that event will be expunged. Deleting a registration record only affects the current event.

In most cases, simply marking a participant as inactive will be sufficient. Inactive participants should not appear in user side searches or top participant lists.

Your steps for deleting her participation should work just fine unless she is a team captain, in which case you will need to remove her from the team first.
