How do you report revenues and commitments to your board for multi-year campaigns?

We are a healthcare orgnaziation and follow AHP Best Practices when reporting to our board, that is, we report using CASH and FULL PLEDGES only (not pay-cash) for each calendar year. We just started a multi-year campaign and want to expand our board reporting to show pledge balances, although AHP doesn't refenence this type of reporting. How do you report revenues and commitments to your board for multi-year campaigns?  Thanks for any input!

  • Assuming all of your pledges have meaningful payment schedule information, you could provide them with a Pledge Status Report, which will tell them:


    1.) How much is pledged (more or less as a reminder after the initial report)

    2.) How much is paid as of X date

    3.) How much is past due

    4.) How much has been written off


    Seems like this would be enough info for the BOD to have a clear sense of how the campaign is actually doing. Of course you'd want to pull it a couple days ahead of a meeting so that your director can get detailed info on the writeoffs and past-due balances, in case questions should arise.

    That is a great idea, we send the Pledge Status report to our accountants every month. If other orgs are doing that then that gives me more credibility in introducing that report. I particulary like the Pledge Status report since it clearly shows write-off's. I'm surprised that AHP doesn't include pledge balances as a best practice. Thanks!!

    You could share a Cash Flow Report, which shows the total number of pledges and it projects the income from those from year to year.
