Gift Default Sets used in a Gift Batch?

Options
Can you use/access a Gift Default Set from within a Gift Batch?  Or do we need to set up Batch Defaults separately?  (Need to be able to enter gifts either way.)

It's Friday afternoon and my head is spinning from grant apps. I've read your post 3 times. I think I understand the question then I'm not sure. LOL

You can create a gift default set when you open a new batch or while you're working in batch. Just go batch to the batch set up and click default tab. General, split gift and schedule can be set up or changed mid-batch.

Is that what you're asking about?  If not, please give more info. I'm probably making a simple question very diffiicult.
  • Not quite...but I wasn't particularly clear.

We need staff to be able to enter Gift Records either directly from the Constituent Record Gifts Tab OR from a Gift Batch.

I know how to set up Default Sets from a Gift Record and how to set up Defaults within a Batch.  But what we'd like to know is if we can use/access/add the Gift Record Default Set from within Batch.  So we could set up a single Default Set that could be used in either case (directly on a Gift Record OR in a Gift Batch) without needing to setup/keep updated two separate Defaults.

It may not matter in the end, but I'm curious to know anyways...
  • I set up gift batches with the defaults I want and save them as templates. I name them Template-Checks, Template-Stock Gifts etc. Then when we start a new gift batch we pull that previously saved batch in for the defaults.

  • Hi Jen,

Can you share your scenario? It seems to me like you have a number of gifts but some may be either for a different fun or different type gift and there is only one time you process them when they are in a batch.  If it is one outlier for either the fund or for a type of gift it may be best to process that seperately in a seperate batch.

Let me know if I am following you correctly.

  • Either what I'm asking still isn't clear or it's just that everyone either always uses Batch and never enters directly from the Constituent Record or vice versus.

But I'm going to assume that the answer is no, that Gift Record Default Sets are not accessible from within a Gift Batch.  And for our situation, if it ends up mattering in the end, we will simply need to maintain a Gift Default Set to be used on the Gift Record directly as well as a Gift Batch Template with the Defaults replicated for Batch entry.

Thanks for trying to help, though!
  • I have tried setting up a gift default set for gifts entered from the gift tab of the constituent record, and it didn't really work.  However, that was a few years ago.

For the batch entry method, I would second the idea of template batches that have all the fields listed in them, and using the "load from existing batch" button.  That is what we currently do at my office, but we also only enter pledges from within the gift tab of the constituent record, so for us, it's a rarer thing to be using that method of entry.

    Hope you figure this out!
