Export a Summary of Gifts

I'm having trouble pulling an export.  I have my query of gifts from 2013-2017 for constituents.  I want to pull out the summary of gifts they gave each year and the fund/appeal they gave to.  Is this possible to pull in one export?  I'm struggling with the outputs to select in the export.

    In an Export, you can pull the amount per year (or any time period).  Since you are doing a summary, how would you want to display the fund and appeals they gave to within the summary?  You are trying to pull summary information along with details.  You would need to pull a separate summary field for each and every fund and appeal.


    Perhaps a Pivot Report would be better?

    Hate to ask this but how many possible funds for these gifts are there? You can output the total amount given to a fund in a specific time period. It may be time-consuming to set up your export output if you've got $ for five separate years and multiple funds. 


    In the output, you'll need ... Josh just posted smiley you'll need separate summary for each time period and fund/appeal.

    Sorry, yes I already created the query of gifts from 2013-2017 with a gift over $20 and I want to export the information.  Should I be specifying in the query the summary information or should I be doing that in the export? 


    Would I need to export the summary of each year seperately?  I haven't used export to create a summary of gifts before.  I've only used it for creating mailing lists and donor recognition lists.  I have more than 5 funds that I'm trying to pull a summary of information for. 


    I can't pull the information from a query to a pivot as I get the same individual listed multiple times due to the data having multiple constituency codes (duplicated).  I would then have to manually delete all the duplicates.

    No, you don't need the summary info in the query unless it's part of your criteria to create your 'group.' Output - not needed. You set it in the Export output,


    Yes, you'll need a separate output of the summary for each year and for each fund. So that's where it can get time consuming to set up. (But it can be used again and again with slight editing.)


    Basically same process as you do in query, Select summary >gifts info and put in your filters etc for year 1,fund 1.  What's key for multiple exports, is in the right pane, put your cursor/highlight "Summary Information" heading that came with your first summary data.  When it's highlighted, in left pane, select Summary >...again  and put in your filters etc. for year 1, fund 2.  Repeat for each year, each fund. Be sure to right click on the Total Gift Amount in the output pane to change the heading so it's clear when you export which column is which.
