How to capture a gift appeal response properly.

Hello!


I was hoping someone could help me with this. We sent out an appeal in the fall and the appeal code was added to all recipient records. When a gift was received, the appeal code was recorded on the gift but it's not reflecting that they gave on the appeal list.


Do I need to manually update the appeal? Do you just not add the appeal before hand so it adds it to the record for you? How do you record your appeal mailing list recipients?


If anyone could share with me what works for them, I would very much appreciate it.

    By "the appeal list" I'm assuming you mean the Appeal tab on a Constituent record and not a Report.


    Does the Gift record have the exact same Appeal AND Package codes?  If so, then the "Total Given" field should display correct information.  If it isn't then you should contact support to find out what's wrong.

    Thank you for your response! Yes, I did mean the list of appeals under the Appeal tab, thank you. I went back to check the information and you were correct. The "Total Given" fields were populating. I was afraid that because the response wasn't updated it wasn't capturing the data.

    Ah!  The Response field is configurable to contain any information you want ("New donor," "Renewal," "Requested to be removed," etc.), so it doesn't update automatically.

    It seems weird that the response field is not updating to 'Gave' if that's what you mean. But part of your post "When a gift was received, the appeal code was recorded on the gift..." makes me think the appeal is not listed on their record unless you get the gift. So not sure what you mean by: "...and the appeal code was added to all recipient records."


    If the appeal is being added on the appeal tab when you enter a gift, I think I know why field is not being updated to "Gave".

    If you want the Appeal Response field for records that don't have the appeal listed to automatically populate with "Gave" this can be set up via a business rule.  You'll need someone with user rights to business rules to set it. It's found under Configuration > Business Rules > Constituent options/General options > third heading: if a constituent gives to an appeal not... Enter Gave in second box.


    Maybe this is your issue... ????
