Tips for 'Not Attending' responses with OLX Events

Options
Good afternoon!

We just wrapped up 'Planning Events in Online Express' with another amazing round of questions from the audience. Our first question comes from Aurora Ulbing, who asked:

"We just sent invites to a BOD Dinner, so VIP only. We want to know if they are not attending. I wonder if we can customize which additional fields they see if they select 'Not Attending'; if we can import to the DB based on the response (i.e. "Do Not Register" vs "Register") and send them different messaging based on their selection; so, follow-ups wouldn't say 'Thanks for registering' if they choose no."

Has anyone had a similiar situation with an event? Do you have any ideas or workarounds for Aurora on how to possibly create messaging based on a registration response? Share your experiences below!

  • Unfortunately, at this point in time, all custom fields in OE Event forms download as Attributes, rather than into the "Register/Do Not Register" fields. And, to my knowledge, it is impossible to make it so registrants only see certain forms fields if they select Yes/No on a custom data field.

The only way I can think to make this work would be to just create a Yes/No Attribute, then create 2 different Queries based off that partiicpant Attribute; then generate two separate email follow-ups, one for each query. You could attain a certain amount of self-automation by pre-scheduling the email at the end of each day and creating the query to be Dynamic with limited date criteria to avoid catching registrants twice over. If you really wanted, you could even make the initial repsonse form a simple Yes/No, and then make the followup email for Yes-responders contain a link to the rest of the registration form. But, it all depends if you want to break it down into so many steps.

Hi Tiffany!  I tried to attend the Planning Events in Online Express webinar but I couldn't get any audio - not sure what I did wrong.  The follow up email said to start in the Community to find an On Demand version of the webinar, but I'm not finding one anywhere.  Can you help me find this On Demand?  Thanks so much!

  • Hi Gina!

Happy to help! The recording and slides can be found under the Resources tab by searching for 'Online Giving'- but you can also just click here

I hope this helps! If you have any questions, feel free to post them here in Community!
  • Fantastic, thank you so much!
