Welcome Series for TeamRaiser donors

Options
We are refreshing our new constituent Welcome Series and are looking for help speaking directly to those who are new via a TeamRaiser donation. We can't figure out how to refer back to the original TeamRaiser gift in the email.

Is there a way to pull in the name of the TeamRaiser participant the donor gave to? Something like this: "Your gift in support of [TeamRaiser participant's name]'s fundraising will help...."

I know you can't use a TeamRaiser S-Tag outside of TeamRaiser. Is there a workaround?

Thanks!

I don't think it is possible, what you are looking for becuase it is not immediately after someone has just made a donation.  For that, it would be a part of the donation autoresponder.  What you can do, however, is reference that they made a gift to a TeamRaiser using the Query function to query the "Origin Application Type" as TeamRaiser using the Field Type of System and the choosing Field: Origin Application Type of "Donor" and then you can also add to that Query the donation campaign by using Transaction Information > Last Transaction Campaign.  Given that this is a welcome series, you are operating under the assumption that your donor only made the one gift through a TeamRaiser. Also, within this query you need to add System > System Creation Time and set it to the time range of when this person registered/made their donation.

I hope this helps to, at a minimum, acknowledge that they made a gift to a TeamRaiser where you had a donation campaign dedicated to a single TeamRaiser with its donation form.  I know it is not ideal, but because it isn't immediately after a gift was made, there really isn't much data we can get from their profile record to display it dynamically in the message.

For what is possible to use in an autoresponder, please check out our documentation on the S120 S-Tag.  Please note, however, the autoresponder inside of the TeamRaiser is limited in what data can display and not all S120 tags might work if you try to use one.

    I hope this helps.

  • What if you set up your welcome series as a coaching email? Then you'd have access to the Teamraiser tags.

You'd build and approve the message once, and then set up a delivery to Current Donors.

You would have to manually set up a new delivery for that same message each week, also targeted to Current Donors. But since a delivery will not go to anyone that has already received the message, only NEW members of Current Donors would get the message. Everyone that already got the message in previous weeks would be skipped automatically.

Its a drag there this is no recurring option for coaching, but this is the nature of hacks like this.

Not sure if I recomment this, it could be fragile and a pain in the butt. Could be worth experimenting with though.

That just might work, Brian.  Thanks for the suggestion.  I haven't played with resending a message using Coaching Emails, but I know that that same principle works with Email Campaigns, that if you already sent a message to a target group and you schedule it again (please note I am not copying the email message, but using the same exact message) it will suppress those who have already received that message.  It is worth exploring to resend your message after it has already gone out and only selecting donors to your current TeamRaiser.

Again, like Brian said, there is no way to automate this process as you would have available using Recurring Delivery under Email Campaigns, but this could work.

Brian, as I was writing this, I remembered that donors to a TeamRaiser are automatically built in the system under the Group Type/Folder "Donation Groups" where you could select that group under Email Campaigns and set up a recurring delivery. This might work using that method.

Kerrie, you may want to give that a try, go to Constituent360 > Groups and expand the folders on the left, then find Donation Groups.  You will find a group named the same name of your TeamRaiser event with donors at the end.  If you build an email in Email Campaigns and set it to launch as a recurring delivery this could work.

I hope this helps.  Be sure to report back and let us know how it goes.  I would recommend sending out a Welcome Series (possibly 3 part) to these donors.  1st message is a welcome to our org and tell us more about you (maybe ask them to complete a profile survey), message two could be for more ways to get involved (e.g. set up their own TeamRaiser page or join you on your social media channels or sign a petition, etc.), 3rd message could ask the user to become a monthly donor.  That is our typical deployment series when setting up new clients with Luminate Online.

If you already have a Welcome Series going, you may want to suppress each group from each other's send so that there is not a duplication of your Welcome Series ending up in someone's inbox.

Instead of the coaching emails, you could use the TeamRaiser Follow-Up autoresponders. They are on the Manage Autorepsonders set-up step. You can control how often they go out under Event Options > Advanced Options > Misc Options.

  • I think those only go to participants, not donors.

Hey there, Allison.  For what Kerrie is trying to accomplish, those "Follow-Up" autoresponders would only work on current registered participants and not those who have made donations, so in looking at it, you can definitely use those Follow-Ups as a ways to coach your participants and welcome them to the TeamRaiser event, but not necessarily the donors.
