    This question is a little vague. What kind of data are you looking to record? There's all sorts of ways to record data, but there are generally optimal ways to record specific kinds of data, so it all really comes down to what data you have, what you want to retain from it, and what you want to do with it once you have it in RE.

    Does anyone use appeals to record on each constituents record when they receive a stewardship publication? When using appeals is there a way to pull a report on those constituents who received that publication and track their gift activity after?

    What are some other ways RE is used to show the correlation of a stewardship action to a constituent and their gift activity, whether they increased their gift or the number of times they gave before?

    Okay, this is I can answer :)


    When we send large scale stewardship pieces, we do indeed record this as an appeal on their record. Typically those stewardship pieces will come in with a soft ask (sometimes just a #9 envelope), and if the gift comes back with that info, we attribute it to the soft ask. We do sometimes link to an appeal if there's good reason to think that the gift is related to it, even if it didn't come back with the right envelope, but that can get a little wishy washy and we certainly don't want to pump up the donation numbers related to a stewardship piece just to make ourselves feel good.


    If you don't include a soft ask or a way to track that gift, you could certainly write a query that asks "did this person receive X appeal, and did they give a gift in the subsequent X # of weeks?" Then you can export constituent info as well as gift info via the Constituent export module and do some reporting based on that. When it comes to more nuanced reporting, I pretty much always just export the data and create a report in Excel or something like that.


    If it's not a large scale stewardship piece, and is instead more targeted (like something from one of your major gift officers), we save that as an action. Gifts that may come in related to that action are not linked to it, but the MG donor will likely reach out, talk to the donor, see what it was all about, and add another action. Reporting on this can be a little trick because not all actions are for the same day. But it is possible to create a meaningful report on stewardship effectiveness based on actions on different dates if you dump out enough data and are willing to muck around in Excel or R or Tableau or something like that. 


    Also, do you have the Prospect module? Some of these kinds of stewardship pieces could be added as propsal actions or notes as well, if the situation warrants. There are some built in prospect reports that could be useful, but I don't have a ton of personal experience with the.

     We use appeals when we are asking for a gift and actions for all other interactions.


    There are many ways you can decide to track things - but the important thing is to be consistent and make sure that everyone is on the same page. We spent a lot of time cleaning up old action types and created a concise set of them so that the data we are looking at is more meaningful.
