Tribute Recognition for Organizations

We are struggling to find a home for tribute recognition in organizations, for example if an organization called the ABC Group gave a tribute gift in memory of a co-worker but they don't want to be recognized as the ABC Group but want to be recognized as The Billing Department at ABC Group.Where are you keeping this information?

    We use a Gift Attribute to record this information.  


    Example

    Attrubute = Recognization

    Comments = The Billing Department of ABC Group


    You can use for organizations or individuals.  For example - Sandra and Bob Smith and Children

    We created an attribute called Donor Recognition Preference with text as the data type. Whenever we export donor listings for print we include that specific attribute as an export field.

    Attributes are definitely an option.  How do you record donor recognition listing info for orgs now?  Attributes? If so, I'd use same location.  For orgs we record our donor listing preferences as an Alias.
  • But I think the issue is how just the single tribute gift is recognized - not all gifts. A single tribute gift may be recognized differently than the rest of the giving. I think a gift attribute is best but if this is the only one just don't forget it or forget to document this new process.
  • I have an attribute for each FY that is used to store specific recognition directions for not only organizations, but individuals as well. After I export my annual report lists I export a list of these attributes and make the necessary adjustments on my lists. I think that being consistent with what you do is important and that there is no one way to track information like this.

    Under the addresses/salutations tab, we have created a Recognition Listing type and then in the Address/Salutation field, we put the correct listing.  We also add a Note in the Notes tab: we have a Recognition List type in the drop down--we can add specific notes if there is anything complicated about the recognition, who requested it and date stamp it so we know when it went into effect.  This can all be easily pulled out for Honor Rolls, etc.


     

  • If this organization gives 3 gifts in the year and only ONE is a tribute from the billing department - then what do you do?


    Add/sals, notes, constituent attributes will not help you. I still suggest gift attributes.
  • Or worse - you add in this note of Billing Dept of ABC corp because of this tribute gift but then next year the org makes a different gift but does not specify their recognition preference. It should probably just be ABC corp but now your note/attribute says the Billing Dept. Will your process cause this second gift to be recognized as being from the Billing Dept?
  • We use both gift and constituent attributes, depending on where the tribute appears - if it's a plaque or a naming on campus, it's a constituent attribute; if it's a single gift, it goes on the gift attribute. We also have an Addressee/Salutation type called Recognition Preference for people who prefer to be listed in a way that is substantially different from their normal Primary Addressee. When we produce our thank you list for, say, the Scholarship Awards Night, we have a little section captioned "IAIA received gifts in honor or menory of the following:" and then we have a list of the gift attributes from the same date range as the donor list. We have never sorted them out by "in honor of" and "in memory of" but those are the two types on the gift attribute, so it would be possible if we chose to do it. But if we need a list of all the named buildings and rooms on campus, we get that from a query looking for the "Naming Details" constituent attribute. The description is what is actually on the sign, the date is filled in when we have actually affixed the naming (so we can see which are still pending), and the comments tell the location on campus. In the "Billing Department" example, I'd definitely put it on the gift attribute.

  • We are currently putting that information in the Gift Reference, but I love the idea of creating a Gift Attribute. I'm assuming that field could then be merged into a thank you and/or acknowledgement letter?

    Yes - gift attributes are available fields in Gift Acknowledgement
