Reporting on Alumni giving by year then by class

Help! In order to see how giving has trended, our CFO is looking at our Alumni giving for the last 20 years. (Ironically, our computerized giving records only go back 20 years...go figure!) The goal is to see what the trend is by year and by class to compare to alumni scholarship award amounts and see how it needs to change and also have data to show Alumni (especially Alumni who are incoming and current parents) how many students we have been able to aid each year and how the future looks.

I have already run the Alumni Class Analysis which gave us totals by grad year. Now she would like a report showing alumni giving for the past 20 years broken down by class and by year of donation. I imagine it should something like this:

Year          Grad Year             Amount     No. of Gifts     Donors      Out of      Percent
1997

                 1927                    25.00                      2              2              10            20%

                 1929                    15.00                      1              1              11           .09%

                 1930                      5.00                      1              1              15           .06% 
                                            45.00                      4

Is there a canned report that will give this? Or can someone who is really good with Crystal Reports guide me on how to create this? I started a CR but tripped over my own over-analyzing feet and couldn't figure it out. 


My last resort is to run the Alumni Class Analysis for each year for the last 20 years and manually plug the figures into a spreadhseet for her.

    Use a Demographics and Statistics Report >> Statitistical Report.  You can pull by year and sort by Class Year in the Same Report.   This would also be a way of getting your Giving by Class info also -- just reconfigure the output.

    Thanks for helping. I looked at the Statistical Report and it seems I would have to run it separately for each year for the last 20, same as the Alumni Analysis. Maybe I am looking at it the wrong way. Can you elaborate?

    Thanks for helping. :-) I know next to nothing about Pivot reports, but I actually did play around in there to see if it would help. It looked like I would have to pull Summary Totals output on a query separately for every year range of 01-01-XX to 12-31-XX. 
  • No summary totals needed for pivot reports. You can just group the months you want to put into a FY total!
  • and if you want calendar years I think it automatically can group by year for you!

    Use a Demographics and Statistics Report >> Statitistical Report.  You can pull by year and sort by Class Year in the Same Report.   This would also be a way of getting your Giving by Class info also -- just reconfigure the output.

     

    I'm sorry!  Use the Demo and Stat Report >> Comparisons and Summary.  Under Fields choose Class of and then go to the Report Periods and enter your years.  I told you the worong report.  eeek.

    Jessica I made a correction -- It's the Comparison and Summary under Demo and Stats reports that will pull multiple years by Class.

    Thanks for the tip.That one is the closest I got to getting RE to do what I wanted. I think it's just way too much information to try to look at the way our team wants it. It may be only 20 years of donations but it's 90 graduating classes! Even breaking it into 5 year increments the charts and graphs they are asking for are so crowded it's hard to read. I think I will convince them to use the 5 year summaries on the report you suggested and just look at the numbers, no graphs!
