Crosscheck linking gifts to pledges

Options
Hi all,

Has anyone come up with a way to crosscheck when gifts are not linked but should be linked to pledges. For example, when a pledge is on an individuals record, but the gift comes in through their company. We enter the gift on the company record and may not notice there is already a pledge sitting on the individual's record. I am racking my brain to figure out how to write a querry that can help me find such errors. Your thoughts?

  • I think it depends on how many records you have and how many active pledges you typically have.  If the org & ind records are linked, you could possibly set up a Business Rule for your gift entry staff.  You'd need to test it, but you might be able to write a Query that shows Constiuents with a Relationship that has a Pledge Balance...  Or a Relationship that has an Attribute, but you'd need to go put that attribute on when you enter the pledge (this is where the number of possible records play a part...).

and just to tack on the Jen's food for thought.  It would also depend on whether you are tracking/entering matching gift info using the match gift option or orgs or not, and if you record the gift on a Company Matching Gift Program record or on the company record itself.

Not all of the gifts are matching gifts. Those we tend to catch easier. What happens is a constituent makes a ledge then the payment comes in through their company. We soft credit the constituent, but don't always check their record looking for pledges. This also happens with spouses. Because of other database issues ever spouse has their own record. If the primary record has the pledge, but the spouse pays through our online system and is entered by batch. We sometimes miss that this was a payment on a pledge. Jen I like your idea for setting up a business rule. I'll have to play around...

I have a business rule that pops up when the record (spouse) is soft credited for a pledge.  Works really well as for us when spouses have their own records because we SC. Just need a query: gift type is pledge, soft credit amount greater than $0, pledge balance greater than $0.  Maybe other ways to set it up  - this works for us.
