Pledge Reminders

Options
I'm new to Raiser's Edge and am looking for help with pledge reminders.  I am looking to set up a one-page letter.  Is there anyone who would be willing to share what they currently use?

    We have a high volume, so I export my list and send to the printers monthly. I can share that template, if interested.
  • We created our own form as CEO wanted additional column than BB forms contain.  But we set up a form similar to their, tear off bottom, boxes for pledge amount, pd, balance, due...  Layout works to fold so bottom address block is in a window envelope. We just use the top 2/3rds as a mini-thank you for your pledge.  Payment as noted below by X/X/XX would be appreciated. CEO signs each one.


    Our branches just use a letter thanking for pledge, reminder that payment is due, send to info or enclose envelope.

    Thank you for responding.  I believe this is the direction we are wanting to go.  If you wouldn't mind sening a template or at least a snapshot of what your form looks like, I would appreciate it!

    We use reminders for pledges using the simple mail merge wizard to set up our form which I have attached.  We send a copy of the letter with a #9 return envelope. Once the document is set up, it is easy to do.

    JoAnn - I like your format of a perf tear off at the bottom.  This would illiminate a step for me.  Do you have to order a special letterhead with the perf?  Is it expensive?

  • Our billing form is similar to our letterhead but it is a separate design.  (Current letterhead has logo/info all the way down side of page.) We intentionally set up different look for the reminders.  We created the design and have a local printer run it for us.  Cost would depend on the paper quality/weight you use and possibly color vs. black & white. Some printers here have to outsource the perf while others it's a thing they do with no problem.


    We often have capital campaign going as well as annual.  While campaigns they may have their own letterhead, we use this one form for all billings (I lobbied hard for that as it's enough of a pain to switch paperstock for different campaign letters that I didn't want to have to sort bills by campaigns. crying)  I'll be breaking open second print run next month.  We print at least a 3 year supply at once. So not a huge difference in cost from printing letterhead as while paperstock is heavy it's not quite as nice/linen.

    You can accomplish with within RE in Mail.  There is a Pledge Reminders where you can set it up.  Works great.

    You can accomplish with within RE in Mail.  There is a Pledge Reminders where you can set it up.  Works great.

     

    A couple of noteworthy benefits to this:

    1. If you have the pledges set up properly, you can run the pledge reminders based on set filters, rather than using a query.

    2. When you make the run, you have the option to record in the donor's record that the reminder has been sent. Having the reminder history is very helpful.
