Acknowledgements

Options
My Director wanted me to find out how other Foundations handle Tribute gifts in which we have 1 or more family/friends to be notified.  Do you notify everyone or is there a limit of how many people to notify?  Most only have 1 person (NOK) who was their primary care giver, spouse or child, but then we receive another gift and they want a different person acknowledged.  Do you acknowledge both the NOK and the second person or just the second person they have requested or do you just not acknowledge the gifts at all?

    We notify whomever the donor wants us to notify.  The final lists that goes to the primary include those that may have requested acknowledgment to someone else.

    We only notifiy who the donor requested we notify. It can be awkward if you notify everyone as there may not be a relationship between the donor and previous acknowledgee. If the NOK of the deceased requests a list of all donors, I include everyone, though, even if that NOK wasn't the acknowledgee for a certain gift. The Contributors Report is great as it lists the donations by acknowledgee, so the NOK would understand the relationships. Hope that made sense!
  • We do the same as JoAnne and Kimberley, we only notify who the donor asks us to notify but if the NOK requests a lists of all donations we include everyone. One of my goals this year is to start using the tribute letters and reports etc. more fully so maybe that may change. At the moment we hand write all notifications. Any hints on which reports to use or which are the best letters would be appreciated!

    I think that there's no one right way to do this. It depends on the family. But if you are contacting a primary contact on the gifts where no acknowldgee is designated I think that I would usually notify them as well as the person who they asked you to contact.

    We are looking into our tribute notification process to send personalized notifications to only who the donor requested as well.  Which report are you specifically using where you can run by acknowledgee?

    We don’t run reports for any acknowledgements
    unless the family member specifically asks for an entire
    listing.

    We send each person who makes a memorial gift
    a receipt with info on it and then we run a query of all the
    tributes for the day and print the family notification tribute card
    for each of those. 

     

    This process is very easy for us, we use Mail
    Merge for both gifts and acknowledgements. 

    We have a 3 pc tear off sheet where we print 3
    tributes per page or 3 receipts per page.  We have cards we
    insert with the notifications or receipts sharing details about the
    program they chose to support. I have attached samples of each
    acknowledgement for you.

     

    (No printing or matching envelopes!  We
    use window!!!)

     

    Attach A: Donor Tribute Recp – we have
    individual cards printed for our Cancer, Children’s Services,
    Hospice programs or we use the misc giving card. A Receipt is
    printed for Donors which has all the info from their gift, placed
    inside a window envelop with the donation explanation card behind
    it.

     

    Attach B: ack to family, which has who the
    gift was from and what area they donated the gift to support – We
    only have one Tribute Card we use for all honor/memorial
    acknowledgements.  Notifications are printed for Families,
    placed inside a window envelope with tribute card behind it. – Wha
    La!
