BBNC email query-based lists

How do you get around the fact that you can only use one RE email type when using a query-based email list in BBNC?  Our current RE setup has email types of Email (Home), Email (Business), etc.  In BBNC you can only specify one 'type' that it will use for emails.  So I can only send emails to email of type email(home), for example.  I can't even select for it to pull the preferred email, regardless of email type.  Exporting from RE and importing the CSV into BBNC is extremely tedious, expecially for recurring monthly e-newsletters.


For those of you that are able to use queries for your emails, how do you define your email 'types'?  Especially since you can only have one email of a given type per record?

  • Emily - We realized this early on so created an email called 'Pref Email' and duplicate the email of choice as 'Pref' - and that's what we use with BBNC.

    Now that RE has added a Primary indicator, hopefully BBNC might work with the Primary selection -- but you'd have to check first.  If that's the case, then you could keep your existing structure and just have BBNC use the email that's been marked Primary.

    Thanks!  Do you have any advice on what to do about primary contacts for org records?  As far as I can tell this is still not an option with query email lists, yes?  I am hesitant to create stand-alone records for all of these contacts because they change often, and continuously adding and removing these records from our donor segmentation would be cumbersome.

  • I actually create a record for any contact that has an email address -- in order to normalize them so the email can be used in BBNC.
    • If they are no longer employed (and there's nothing significant on their record like a gift), I'll often use the Relationship/Break Link, Break link AND delete the constituent record -- that will delete the record and retract it back to the relationship only.
  • Our database has 5 email fields in it, each just titled Email 1, Email 2, Email 3, etc.  Email 1 is our preferred email, and is always the one that's marked primary.


    When we need to send to all emails on the records we are sending the email to in NetCommunity, sometimes we export all the emails out of RE into Excel, and then use that as our imported list instead of attaching the email to a query of records in RE.  We still get all the benefits of the reports, bounced emails, and whatnot, so it's better for us than fussing around with multiple queries to pull multiples types of email into BBNC.  This exporting also allows for emails from Org record types to easily be in our list.  If you're short on time, it's not idea, but it's at least an option you could consider as well as what Gina's given you.
