Consecutive Months Report

I need to create a list of recurring donors that send in checks once a month. They have not been recorded as recurring because they do not have the automatic credit card charge.  We have recently realized that some donors give monthly on their own accord. I know how to use the Consecutive Years report but I'm having trouble setting up a query for consecutive months without it getting out of control. Any suggestions?

  • You could start with a pivot report to identify your monthly
    donors. Include ConsID and gift date.  Pivot on ConsID aad use
    the count value on gift date rather than sum. Then group by month
    on gift date. This will allow you to identify your monthly donors
    and create an attribute for them that you can use to gather them in
    a query. Let me know if you'd like an example of a pivot table as
    Ive ddescribe.

    I've attached an Excel file that I created from Pivot reports in RE (please let me know if the attachment doesn't come through). The data is pivoted by Cons ID then gift date and grouped by month on gift date. Take a look at the various tabs at the bottom of the file to see the raw data, the pivot table, and then new table I created and then sorted by total number of months given. The donor on the top of that table are likely your recurring monthly donors. Since you aren't using the gift type of Recurring Gift, I would consider coping and pasting those IDs into a constituent query and then adding a constituent attribute to those donors so you can more easily report on them.

    Have played with Pivot reports some but not a big fan yet.  If I were looking for donors who've given each month but do not have a pledge marked for monthly installments I would create a constituent query. If looking at last 6 months I'd go to summary information > gift > total # of gifts =/> 5 or 6.  Gift type 'cash'. Put date filter on for last 6 months.  Time frame and # of gifts could be what ever you like.  I would exclude 'staff' giving via payroll.

    I'm not in RE right now to see if there would be any other filter needed.  But I'd give it a try.

  • Thanks for letting me know. One of the other respondees pointed out that the Totals columning was summing gifts rather than counting distinct months when giving had occured. I revised the spreadsheet to include a column with a CountIF formula that totals the number of months when the number of gifts is greater than zero. This gives an accurate count of the number of months that the donor has given.

    In a Query use the summary information on gift to look for total number of gifts = 12 and the gift date is between whatever 12 month period you want to use -- your FY or calendar year -- that should give you a list of those that give monthly.
