Has anyone set up a recurring daily email delivery based on a group that successfully rebuilds upon deployment?

I'm having problems with this--the email will deploy but always results in 0 recipients.  Convio states that group won't rebuild more than once in a 24 hour period.  When the email deploys at 8 am, it kicks off the group rebuild... but that rebuild doesn't finish until AFTER the email deploys... or it won't rebuild at all because it was manually rebuilt during the previous day.

Anyone have a recurring daily email that successfully rebuilds a target group -- and results in sending all those members the message?  I'm seeking guidance on how to set this up so I don't have to manually rebuild and deploy the messages every day.

  • I had a similar problem and not sure this will help, but I'll share just in case.  I sent an email that had an error, and wanted to resend it. Of course I had to wait 24 hours for the email to rebuild the group.  Then I found out that Convio has a built-in mechanism to ensure it does not send the same email to any constituent twice.  So it went to zero constituents.  I had to copy the email and create a new one.  Then it rebuilt the group.

    I do have a membership renewal email that goes to a new group each month, and that works really well, but we are uploading the new group manually from our offline database.

    Generally a daily recurring email is handled one of two ways:

    1. A new message sent to the same constituent every day.

    In this scenario you have to create a new message within the campaign, otherwise you will run into the same problem I had.

    2. The same message sent daily to new people in a group.

    In this scenario, all group members who recieved the message previously will be dropped out of the group.  If no new members join the group, the rebuild will show zero constituents.

    My challenge is a bit different than what you've described here.  I'm trying to send the same message daily to new people in a group.  The problem is, the group won't rebuild (or complete the rebuild process) before the message deploys.  So, oftentimes, it just sees the same people who were in the group yesterday, and that's why the message gets 0 recipients.  When I look at the group rebuild statistics, I see it finished rebuilding AFTER the message deployed.  I think this is the problem: if the group finished rebuilding prior to the email deployment, then it would pick up the new constituents who should receive the message.

    My group is based on a query--which might have something to do with the problem.  In any case, something seems to be going wrong with the timing of the email deployment and rebuild process.

    I'm working to set the same thing up now. I'm using groups based on a search query, so I believe I can just set up the group to rebuild every day based off the query. Thus, there is no need for the email to force a group rebuild. At least, that's the hope.

    I had the same challenge not long ago. It takes Convio a few minutes to build the group and fire off the message, but then the next day it's only been 23 hours and 59 minutes since the last rebuild and it doesn't go. Convio really needs a better way to handle this -- we're violating the letter of the 24-hour rule law, but not the spirit. (I'm sure the rule is there for a very good business reason.) In my case, they were kind enough to lower our limit to 21 hours, and it's solved my problem. Perhaps inquire about that?

  • I use a query to build group membership for an audience, then send the same email to the whole audience daily.  Whoever has not gotten it in the past will get it.  Does that work for you?  I send my welcome series to people this way, 365 days a year.

    Mathew's got it -- the only real way to get around this issue is to have Convio Support change the setting on your site that controls how soon a group can be rebuilt to something lower than 24 hours.
