Opt-in/Opt-Out UK requirements

Hi all HELP!


With the new opt-in/opt-out rules coming in during the next year or so here in the UK I have been tasked with ensuring we have clear information of where and what people have opted in to or out of. For example: John Doe - he has opted in to receive post only from us - through our Christmas appeal but he does NOT want to receive any emails or telephone calls. I was thinking an attribute for Opt-in with the description being a drop down box of where this information is from (Christmas appeal). We will not be using solicit codes in the future as you can't date them or put comments unfortunately.


Do you think I should have a seperate opt-in/out for each choice - Opt-in Email; Opt-in Post; Opt-in Phone, Opt-in SMS and the same for Opt-out?

    We are going through a similar process here - we have made attributes of how people want to be contacted with a drop down field set of whether it be by post, phone, email, SMS or not at all and a separate attribute of what they want to hear about i.e. newsletters, fundraising campgaigns, events,everything etc. - about 12 in all. This means we have a large exercise to add all these attributes to each constituent but these can be dated and the comments field can be used to log the source of the opt-in or opt out. This is in it's early days but hope it gives you a few ideas

  • We have just changed the way we record opt ins. 


    We decided to use attributes for Email and phone opt ins. We have one attribute for each and only allow 1 of each per record. We also record whethere it is a written opt in or an online opt in. we also record the date and use the comment box to record the source. If it is a written opt in we also scan a copy of the form and add it to the media tab so we have proof. We are also able to download all onine opt ins. 


    As for mail we currently only use a NO MAIL solicit code if the donor has requested not to recive anything in the post. If we have to move to postal opt ins I'm sure we wil follow the same format as we do for email and phone.

    We use Attribute Categories:

    Opt in > each method: email, post, phone, etc.

    Approach channels > for what types of contact they do want, such as particular campaigns, magazines only.

    Mail suppression > for unwanted contact types, inc where there's no opt in. Clearer than calling it an "opt out", which obviously no longer exists.

    Do not mail > because most of our gifts come in response to postal mailings, so this needed its own list.

    NB. We put the source of the opt-ins, etc in the Comments field. The drop down in Description is normalised to the minimum number of entries, otherwise queries get very tedious!
