Donor Acknowledement letters saved in the merge process in hosted environment

We are in the testing phase of hosted.  I was able to get the donor acknowledgement letter to print if I told it to save it on the desk top instead of one of the network drive folders.  However, after the letter came up I discovered I could not find the file on my desktop or any of my folders.  I have two questions 1)  Where does it save the thank you letters?  It did make me enter user name and initials before they displayed.  2) Is there an issue saving it to the same location with the same name.  I know that when we housed RE on our server we were told to never do that or it would crash the system.  Is this still true with the hosted version.

    You chould create a folder on your Citrix Files Folder (the "Blackbaud Cloud/share drive") where you save your letters and then download them to your pc/local share folders.

    You can't save to local shared network folders, but I have created a "RE local" folder in the root of my C-drive so I can export to my local PC. Then I move files to the appropriate folder in our network share folder. Personally I don't like to clutter my desktop, so that is why I created the local folder. I also know my C-drive is not backed up, so it is my "temporary" location for working in the hosted environment.

    You could always save it to the same location/file name as long as you are copying the earlier version -- if you need to keep a copy. And we do have a file that we do that with regularly, and it has not "crashed" the sytem. It also allows your parameters to be consistent everytime you use that process.

  • I have a folder on my Desktop/C: drive called "Blackbaud" where I temporarily store exports, imports, letters, etc.  Also in that folder are a variety of shortcuts to other folders.  So when I export something to [Blackbaud] and need it in a network folder, I can just open [Blackbaud] and drag the file to the folder shortcut, and it's there (copied, not moved).  Once you get the hang of it, it's not horrible.


    You can now make a request to BB that they provide access for Hosted RE to be able to use a network folder, which I did, but the connection broke at one point, and I'm now so used to using my temporary local folder that I didn't do anything about restoring it.
  • The files are stored in your Hosted Citrix drive - you may have to reach out to Support to figure out exactly how you should access it.  They can set up an FTP access point for you or another option, depends on what your org. needs.  :)


    I always recommend that you save a copy of the files to your local C:\\ and THEN copy them to your org's shared network drive.  Citrix won't allow files to be saved directly to your shared network drive.  


    Personally I have had really great success with a software product called BitKinex.  The biggest irritation I have ever encountered with it is when I have to change my Citrix login, and then I have to remember to go into the Properties on BitKinex and change the saved password there, too.  :D
